Job description

Operations Manager

Duties Daily:

  • Responsible for the production, procurement, and planning of daily operations
  • Communicates with all employees of the company to ensure customer requirements are met
  • Plans, schedules, and reviews workload and manpower to make sure targets are being met on a cost-effective basis
  • Ensures the production team has enough time to perform work based on the client's request
  • Creates a detailed schedule based on strict deadlines
  • Communicates any changes in the order or delivery date to relevant parties
  • Monitors daily workmanship standards in line with the company mission statement to ensure quality is never lost
  • Makes sure the working environment maintains access to quality equipment
  • Purchases materials and services required for daily operations by working with outside vendors
  • Follows up on interruptions to the orders
  • Confirms that health and safety regulations are followed
  • Provides guidance to employees
  • Interpret and respond to all RFQ’s
  • Interpret customer supplied drawings and procedures
  • Develop and issue quotations for customer RFQ’s
  • Delegate work load and assign tasks to staff in order to ensure deadlines are met
  • Ensure correct test methods are assigned for each test and paperwork is issued correctly for technicians to perform work assigned
  • Review all certifications before they are issued to customers
  • Work with Inside Sales Rep to ensure all logistics are covered for each job
  • Perform routine check ins of employees during production to ensure all safety, testing and general practices are followed
  • Record all OJT hours per written practice
  • Completes various projects as assigned by CEO
  • Perform duties in a safe, productive, and quality-minded manner
  • Supervise employees associated with day-to-day operations in a fast-paced environment, while maintaining a positive and motivating leadership presence.
  • Respond to employee questions and concerns; maintain a positive work environment
  • Maintain necessary documentation for tracking productivity, safety and staff attendance.
  • Input new customers into QB, manage inventory & item list in QB, input new vendors into QB, manage all templates for paperwork in QB
  • Represent the company to all customers, vendors and employees in a professional manner
  • Oversee Operations Coordinator to ensure accuracy in all aspects of that job description

Weekly Duties:

  • Coordinate activities that affect operational decisions and business requirements
  • Ensure all equipment for production is in good working order and within calibration if necessary with QA.
  • Manage the stock control, check that inventory records are accurate, resupply as needed
  • Work with accounting to ensure payroll for employees is correct for exempt and hourly
  • Ensure all CA & Federal laws are being followed pertaining to employee rights
  • Maintain employee files, plan and execute reviews, benefits hiring, onboarding and termination with ACC & CEO.
  • Prepare and update company policies
  • Manage the growth and success of the team
  • Provide proper orientation to the staff and ensure completion of required training
  • Provide feedback and positive reinforcement on safety, quality and productivity to the staff.
  • Report feedback, problems and solutions to the CEO regarding production quality and efficiency
  • Perform additional tasks assigned by CEO
  • Make high-level decisions about policy and strategy.
  • Work with accounting and CEO to establish budgets, guidelines and goals related to finances

Essential Duties:

  • Keep CEO informed of any up-coming large accounts as well as problematic accounts
  • Ensure technicians are updated with training in accordance with the required test procedures
  • Resolve staff complaints and provide a harmonious work environment
  • Ensure failure of customer equipment is justified & correct
  • Maintain the most recent interpretations of the industry documentation and standards while flowing down required information to staff
  • Coordinate the revision, review and approval of applicable policies with CEO and QA
  • Ensure that operational standards & company policies are established, up to date, implemented and followed by the staff
  • Drive efficiency by motivating and holding team members accountable to established standards and providing reinforcement for correct behavior.
  • Drive a continuous improvement culture to ensure constant company growth
  • Actively develop and promote open lines of communication to maintain and develop positive employee relations; recognize employees for their accomplishments and ideas.
  • Encourage process improvement through associates’ feedback and drive changes to meet or exceed production goals.
  • Plan and execute future goals for the company in collaboration with the CEO
  • Report to the board of directors and keep them informed.
  • Participate in hiring/termination of employees
  • Supervisor of operational employees; responsible for reviews, write ups, recognitions, terminations, training and follow ups
  • Work closely with CEO to ensure all documentation is in place regarding employees
  • Participate in interviews of applicants

Essential Skills:

  • Possess good English reading, oral and written communication skills
  • Good vision, excellent math skills and sharp eye-hand coordination
  • Able to analyze and interpret industry/customer standards, procedures and methods
  • Ability to interpret blueprints/drawings
  • Knowledge and experience related to all methods of leak testing, nondestructive testing and vacuum technology
  • General knowledge of CA and Federal laws pertaining to employee rights.
  • Excellent organization skills with high attention to detail
  • Work independently - as well as within a team; able to work with minimal supervision from CEO
  • Experienced and skilled in Microsoft Office, including Word, Excel and Outlook
  • Experienced with QuickBooks
  • Ability to work in high pressure situations and well as high paced environment
