Description
We are seeking a customer service, process and operations-oriented Administrative Coordinator. This is a broad scope position and requires someone who is highly detailed, with a strong multi-tasking ability, and who can see small and large projects through to completion. The ideal individual will enjoy the intellectual challenge of working with the school's administration and faculty, while supporting various key professionals. This position reports to the Director of Finance and Operations.

Established in 1948 in Mamaroneck, NY, Westchester Day School, a Modern Orthodox, co-educational, dual curriculum Jewish elementary school (2-year-olds through 8th grade), prepares students to live as mensches and lifelong learners and inspires them to impact the world around them by cultivating a commitment to Torah, midot, community and academic rigor.
Responsibilities include:
  • Serve as school receptionist, managing telephone activity, screening/forwarding calls, and greeting parents and guests
  • Primary coordinator between operations, education, and advancement teams
  • Arranging for substitute teachers
  • Managing school sports program
  • Generating multiple weekly communications such as community event announcements, weekly communications for parents and teachers, and messages from administrators
  • Managing administrators' schedules and handling day to day administrative tasks such as mail, office supplies, and other issues that may arise
  • Maintaining an organized office space
  • Managing inventory of school & office supplies
  • Collecting and distributing the mail. Send mail, prepare UPS labels when necessary
  • Welcoming parents and visitors to the school
Qualifications:
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and a customer service mindset
  • High proficiency in MS Office and Google Suite. Knowledge of Blackbaud, Canva, and/or Formstack a plus
  • Strong customer service skills with both internal and external business partners and parents
  • Demonstrated problem-solving abilities, resourcefulness and ability to follow through on all tasks efficiently and responsibly
  • Experience organizing, managing, multitasking and prioritizing daily administrative tasks
  • Detail-oriented self-starter
  • Maintain confidentiality with sensitive information
  • Knowledge of Hebrew a plus
Salary range for this role is $60,000-$70,000, depending upon education and experience.
