Reporting to the Associate Vice President and Dean of Academic Operations, the Academic Operations Coordinator oversees and coordinates the administrative functions of the unit to ensure efficient implementation and functioning.

Essential Duties and Responsibilities

Administrative Operations and Communications

  • Help to coordinate and carry-out the day-to-day functions of the unit;
  • Assist other unit and cross-unit staff; help to coordinate tasks and duties with direction and input from the AVP and Dean of Academic Operations, and relevant constituencies and offices
  • Facilitate communication and correspondence between the AVP and Dean of Academic Operations and other unit staff with partners, students, other offices, and others stakeholders; help to coordinate and conduct meetings between internal and external stakeholders;
  • Assist with the implementation of grant-related projects and new partnerships and initiatives; assist with the plan and execute events, (conferences, institutes, one-stop shops)
  • Help to plan and coordinate meetings, workshops, etc.
  • Assist and support key and activities and functions of the Office of the Registrar, such as course scheduling, academic record updates, student registrations, the transcription of transfer credits, degree audits, graduation and commencement activities, diplomas, reports, and communication with students, advisors, and academic programs.
  • When possible, assist the Office of Financial Aid, especially with communication and student support needs
  • Collect and maintain documents and records related to students to ensure confidentiality of such records.

Operationalize Key Projects:

  • Lead and operationalize key projects within Academic Operations to enhance overall student success.
  • Collaborate with cross-functional teams to design and implement efficient operational processes.
  • Ensure successful execution of projects, meeting established objectives and timelines, with a hands-on approach to project completion.
  • Actively contribute to the completion of project tasks, working closely with team members to ensure milestones are achieved.

Matriculation, Student Affairs and Retention, and Graduation

  • Help to oversee matriculation and onboarding processes through collaboration with essential university offices including the Admissions Office, and Office of the Registrar, the Office of student Health, Financial Aid Office, Office of Accessibility, and the IT Department, as well as external compliance constituents;
  • Serve as skilled user of the SEU PowerCampus student information system in support of the the Office of the Registrar to help ensure that academic records are accurate, and that students are properly registered for courses, and to ensure students meet all requirements for graduation;
  • Collaborate and develop effective working relationships with University offices and programs to facilitate student access to institutional and community services and resources;
  • Provide as needed support for student success and retention.

Financial and Project Management

  • Assist the AVP and Dean of Academic Operations with the management of various budgets and projects, and assist with the preparation of paperwork to ensure payments are made in a timely manner.

Process Analysis and Improvement:

  • Conduct thorough process analysis to identify areas for improvement within Academic Operations.
  • Collaborate with stakeholders to streamline workflows, enhance efficiency, and reduce operational bottlenecks.
  • Implement process improvements based on data-driven insights and industry best practices.
  • Collaborate with teams to implement changes that enhance overall workflow and operational effectiveness.

Program Policy Development, Adherence and Reporting

  • Assist in conduct an annual review of operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures;
  • Collaborate with related offices to establish policies, processes and procedures

Special Projects

  • Help to manage, facilitate, and execute special projects as needed.
  • Other duties as assigned in consultation with the AVP and Dean of Academic Operations

Qualifications

Education: BA/BS with MA/MS Preferred

Experience: Minimum two years in higher education

Evidence of an ability to learn and utilize modern computer software, including but not limited to Microsoft office, learning management / web based learning systems, Student Information Systems, CRMs, and Google platforms.

Excellent written and verbal communication and interpersonal skills, self-motivated with demonstrated ability to learn quickly, multitask, and set priorities.
