Job Summary


The Administrative Specialist Senior supports the Institutional Advancement (IA) Department (comprised of marketing, alumni & development) in the President's Office at Phoenix College.

The person in this role oversees alumni, development, and marketing department budgets, subscriptions, purchasing, and related activities; oversees donations; helps coordinate the alumni council and various student, alumni, and donor engagement activities and events; induction of new alumni into the Alumni Association, and coordinates with multiple departments and colleagues across the College to provide support.
Essential Functions

25% - Monitors and tracks budgets, funding, and expenditures; consolidates monthly gift reports; and assists with event budget preparation and management.

25% - Communicates with internal and external stakeholders (i.e., students, alumni, donors, faculty, staff, vendors) via e-mail, phone, and letter concerning policies/procedures, scholarships or emergency funding, event details, or purchasing. Performs monthly gift reporting and correspondence with donors.

15% - Assists with research, gathers information, coordinates activities, and provides administrative support for IA projects, programs and services.

15% - Schedules, prioritizes, coordinates and performs administrative support activities related to meetings, events, or department services.

10% - Oversees the maintenance of files, records, database information and documentation related to the assigned area and according to established procedures.

5% - Coordinates the inventory and replenishing of office supplies and office equipment maintenance services.

5% - Prepares and maintains schedules, coordinates calendars, researches and makes travel arrangements.
Minimum Qualifications

Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
OR
High School Diploma and four (4) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.
Desired Qualifications
  1. Experience with monitoring and tracking budgets and expenditures.
  2. Experience assisting with event management and coordination.
  3. Experience working in any role at a college or university, City, State, or other Government agency.
  4. Experience communicating with various stakeholders via in-person activities, e-mail, phone, and US Mail.
  5. Experience using the Microsoft Suite of Products: Excel, Word, PowerPoint, etc.
  6. Experience using Financial Management System (FMS) or similar tool.
  7. Experience using PeopleSoft or similar tools.
  8. Experience using Raiser's Edge or similar customer relations management (CRM) tools.
Special Working Conditions

May be required to work at multiple sites or locations.
May be required to lift or carry up to 25 lbs.
May be required to sit for a prolonged period of time; viewing a computer monitor
