HH Red Stone is a rapidly expanding Property Management Company specializing in Student Housing. We are currently looking for an experienced Commercial Property Assistant to join our team Silver Spring, MD. This is an excellent opportunity for someone who is resourceful, detail-oriented, a team player, and skilled at developing top performers.

Job Overview: As a Commercial Property Assistant, you will play a pivotal role in supporting the efficient management and leasing of a portfolio of properties. This position involves diverse responsibilities ranging from tenant relations to lease administration and marketing support. You will collaborate closely with property managers, leasing representatives, and external stakeholders to ensure the smooth operation and promotion of our properties.

Responsibilities:

  • Building positive relationships with prospective and current tenants to foster tenant satisfaction and retention.
  • Assisting in addressing tenant concerns and coordinating with relevant parties for timely issue resolution.
  • Handling and responding to all tenant calls and emails within a reasonable time frame to maintain open communication channels.
  • Generating and distributing monthly tenant statements and processing bill-backs to ensure accurate and timely rent collection.
  • Competitively bidding and procuring all third-party service contracts, building materials, and supplies to support successful property operation.
  • Monitoring performance quality levels of all service contracts and vendors and coordinating with maintenance technicians for minor service issues and repairs.
  • Administering and managing all aspects of leases between landlord and tenant, including obtaining certificates of insurance, monitoring tenant sales reports, and billing and collecting percentage rent where applicable.
  • Assisting in monitoring lease agreements for compliance with terms and conditions.
  • Notifying tenants in case of defaults under the lease and coordinating necessary actions with the Property Manager to ensure lease compliance.
  • Keeping accurate records of lease documents and ensuring they are up-to-date to facilitate efficient property management.
  • Providing administrative support to the Commercial Manager in daily tasks to streamline operations.
  • Preparing and distributing relevant documents, reports, and notices to tenants to keep them informed of property-related matters.
  • Scheduling and coordinating meetings with tenants, contractors, and other stakeholders to facilitate effective communication.
  • Assisting in conducting regular property inspections to identify maintenance needs or potential issues and ensuring vacant spaces are ready for viewing by prospective tenants.
  • Maintaining financial records related to property expenses and income and collaborating with the finance team for accurate and timely processing of invoices and rent payments.
  • Staying updated on market conditions, trends, and product knowledge in the community and competitive communities to inform marketing efforts and attract new tenants.
  • Adhering to Standard Operating Procedures to ensure consistency and compliance across property management activities.

Qualifications:

  • Minimum of 2 years of experience in residential or commercial property management or related administrative role.
  • Strong communication skills, both written and verbal.
  • Attention to detail and excellent organizational skills.
  • Knowledge of industry standards, regulations, and lease agreements.
  • Strong time management skills and ability to prioritize effectively.
  • Basic understanding of accounting practices.
  • Ability to close a sale and drive, with access to a car.
  • Knowledge of state law regarding security deposits and tenant-related fees.

Ability to travel as needed.
