Position Summary
The Government Alliance on Race and Equity (GARE) Coordinator for the Director's office supports the Office of the GARE Sr. Director and Vice President of Institutional and Sectoral Change (VP ISC) as directed. The Coordinator helps the GARE team maintain its relationships with programmatic leads, partners, and serves as the staff liaison to the GARE Steering Committee and GARE's Racial Equity CEO's Group. The GARE Coordinator is adept at planning and coordinating, able to record and translate information through effective communication and writing skills and able to make intellectual connections to the work and goals of GARE staff and the network.
The Coordinator is highly organized, manages multiple projects and responds to changing objectives as the need arises. They possess exceptional interpersonal and communication skills. This professional can also implement and manage logistical demands of a staff who work cross-functionally to respond to the needs of the GARE membership. The position supports a geographically dispersed team that works across 4 US time zones.
Duties and Responsibilities
Administrative Support
  • Independently manages projects with complex administrative elements, ensuring tasks such as scheduling, tracking, and assignment completion adhere strictly to predefined timelines.
  • Executes a broad range of administrative duties, encompassing the preparation of meeting minutes and the composition of both routine and sophisticated correspondences, including letters and memoranda.
  • Assists GARE Team and leadership in preparing presentations and summarizing reports and documents. Inclusive of support for the creation of PowerPoint presentations, spreadsheets, charts, reports, and related materials.
  • Provides highly intuitive support across functions of the GARE Director's office, the GARE Program Team and supports the Sr. Director and VP ISC on Race Forward related projects.
  • Conducts research, compiles and examines data/information, and crafts reports as directed to guide the GARE Leadership Team in making informed business decisions as instructed.
  • Organizes meetings, coordinates appointments, manage calendars and handles confidential matters with discretion.
  • Ability to apply project management skills in managing and prioritizing work, to efficiently manage and prioritize tasks, adept at drafting and mapping out processes and apply advanced knowledge and skills in various software programs.
  • Assumes responsibility for timely completion of special projects.
  • Assist with network messaging through the Office of the Director including social media engagement as requested.
  • Acts as liaison between GARE and Race Forward leadership, managers, consultants, network practitioners in coordinating meetings and relaying information.
  • Possesses the skill to champion initiatives and assemble the appropriate personnel, materials, resources, and technologies requisite for any project at hand.
  • Proactively clarifies information to prevent misunderstandings, foresees potential issues or miscommunications, and provides recommendations to enhance communication efficacy.

  • Exercises a high level of discretion and respects confidentiality in support of the GARE's work;
  • Competent in the use of Asana, Eventbrite, Outlook, Word, Excel, and Power Point; preferred experience with MailChimp and WordPress;
  • Collaborative, upbeat work style is highly desirable.
Qualifications and Experience
  • Experience providing project management assistance;
  • Bachelor's degree or equivalent experience in related fields
  • Experience in social or racial justice preferred (including volunteer experience)
  • Experience working in teams
Additional Information
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Willingness and ability to travel up to 20% of the time.
