The Department of Environmental and Occupational Health Sciences seeks a part-time Project Administrator (Program Operations Specialist (NE S 7)) to manage implementation of Blue Carbon, Green Fields: Mobilizing Marine Algae to Benefit Sea and Soil in the Pacific Northwest. This $5M Partnership for Climate-Smart Commodities grant pilots a novel partnership between aquaculture and terrestrial farmers in the Puget Sound region to improve soil and water quality and aid in climate change mitigation and adaptation. The Project Administrator will work closely with project leadership to oversee metric tracking and reporting and to provide administrative support and team coordination. The Project is headed by Dr. Sarah Collier and involves collaboration across UW and with several other regional organizations.

DUTIES AND RESPONSIBILITIES

Administration (70%)

Coordinate directly with the Project Director and funder to oversee and meet grant administrative reporting requirements, including progress and financial reports.

Oversee and track the use of grant funds, keeping excellent documentation and ensuring compliance with contract and reporting requirements. Requires collaboration with departmental fiscal staff.

Track grant activities and deliverables, keeping excellent documentation and ensuring compliance with contract and reporting requirements.

Assemble all necessary quarterly and annual reporting materials and documents based on completed and in-progress work.

Collaborate with departmental administrative staff to develop and execute partner and participant contracts, ensuring that all activity, compliance, record keeping, and reporting requirements are specified and met.

Track partner and participant activities and expenses in alignment with contracts and overall project reporting requirements and assist partners in meeting reporting deadlines.

Maintain backup documentation for all reported project expenses and activities.

Contribute to overall project strategic planning.

Communication & Coordination (30%)

Implement detailed internal tracking systems, proactively communicating about needs, changes, and updates as necessary.

Meet regularly with project leadership to contribute to research activity planning and to ensure coordination between project activities, resources, and reporting requirements.

Communicate regularly with project personnel and partners about reporting requirements and keep up-to-date with project activities.

Coordinate with project leadership to ensure the project teams are meeting at regular intervals and on-track to be compliant with milestones and reporting measures.

Manage participant onboarding, including developing onboarding protocols, reviewing/confirming eligibility, providing support for initiation paperwork (including project contract, confirming regulatory compliance with USDA, etc.), and tracking enrollment.

MINIMUM REQUIREMENTS

Bachelor's degree in Communications, Accounting, Business, Life Sciences, Earth Sciences, or a related field.

2 years' experience in coordinating complex projects, including working with large or diverse teams, collecting data or project metrics, and reporting.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS

Experience with grant and/or contract management.

Budget management skills.

Proficient in Excel and other Microsoft Office products.

Organized and detail oriented.

Ability to manage multiple projects and competing priorities with high attention to detail.

Excellent communication skills.

DESIRED QUALIFICATIONS

Experience with federal grant management and reporting.

Experience engaging with USDA FSA and/or NRCS.

Interest or experience in small-scale agriculture (especially vegetable or mixed crop/livestock).
