The Law Office of Wood & Wood, a reputable law practice in the legal industry, is seeking an entry-level Legal Receptionist to join our team. As the first point of contact for our clients, the Legal Receptionist will play a vital role in providing exceptional customer service and administrative support within our busy office environment.
Responsibilities
  • Welcome and greet clients and visitors in a friendly and professional manner.
  • Answer incoming phone calls and direct them to the appropriate team members.
  • Maintain and manage the reception area to ensure it is clean and organized at all times.
  • Schedule appointments and manage calendars for attorneys and legal staff.
  • Assist in drafting and preparing legal documents, such as correspondence and memos.
  • Handle incoming and outgoing mail, faxes, and emails, ensuring they are distributed to the correct recipients.
  • Manage inventory of office supplies and order as necessary.
  • Coordinate and schedule meetings and conference rooms, ensuring they are properly set up and equipped.
  • Assist with various administrative tasks, including filing, photocopying, and scanning documents.
  • Collaborate with other staff members to ensure smooth operations and efficient workflow.
Requirements
  • High school diploma or equivalent.
  • Proven experience in a similar role as a legal receptionist or in a law firm.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Proficient in using Microsoft Office Suite and other relevant software.
  • Ability to handle confidential information with discretion.
  • Exceptional interpersonal skills and the ability to work well in a team.
  • Professional demeanor and appearance.
  • Ability to multitask and prioritize tasks effectively.
  • Knowledge of legal terminology and the legal industry is a plus.
