DISTRIBUTION SPECIALIST

We're the first and last touch for clients, worksite employees, vendors, and our own PROhana. We greet stakeholders when they arrive, answer their calls, and connect them with experts that can help. Nothing leaves our offices that don't go through our hands also-from mailing paychecks to worksite employees to sending our PROhana equipment, or goodies in the mail from Internal HR.

This role serves our clients and worksite employees by performing a variety of tasks related to the distribution and mailing of payroll checks and reports including receiving, packing, shipping mail, and distributing all inbound mail/packages. This role will build and maintain relationships with clients, worksite employees, vendors, prospects, and our internal staff.

  • Package Payrolls for various clients meeting client specific Payroll delivery needs, inbound/outbound mailing/shipping needs for org.
  • Support various internal departments with various tasks, including but not limited to data entry, scanning new hire packets, W2/pay stub reprints, etc.
  • Manage a high volume of incoming calls from our company operator queue. Ensure all callers are routed quickly to the appropriate contact.
  • Maintain and monitor office supplies and equipment maintenance.
  • Establish and maintain relationships with various vendors and couriers.
  • Package & distribute mail received for client and/or employee pick up according to distribution notes. Assist with printing, shipping, and mailing client payrolls and employee payroll checks.

The base compensation for this position is $18.00 to $22.00 per hour depending on experience and qualifications.

WHAT WE'D LIKE FOR YOU TO HAVE

  • Experience
    • 2 years of customer service or administrative experience.
    • Prior experience working in mailroom or distribution a plus!
    • Proficient in Microsoft Office and Google Suite (Gmail, Calendar, Docs)
  • Passion for providing exceptional customer experiences that provide satisfaction and results that serve to the client's needs while being mindful of the operational impact to maintain expectations.
  • Strong Organizational Skills. Ability to plan, organize, and schedule in an efficient productive manner.

  • Ability to find new ways to innovate processes and procedures to drive better internal and external client experiences.
  • Work well under pressure. Ability to juggle multiple priorities with competing deadlines.
  • Ability to build cross functional relationships across departments. Always willing to lend a helping hand.
  • Professional in demeanor. Create favorable first impressions through appropriate body language, eye contact, posture, voice qualities, and attire.
