Job Responsibilities:

  • Welcomes and greets all patients and visitors, in person or over the phone
  • Schedule appointments in aligned with providers approved & documented schedule.
  • Answers the phone while maintaining a polite, consistent phone manner using the following proper telephone etiquette
  • Being an active listener – focusing on the speaker and the issue being discussed, trying not to interrupt, being aware of non-verbal communication, avoiding talking to someone else
  • Having good phone manners by answering quickly, speaking slowly and clearly, and asking permission before placing a caller on hold.
  • Maintain confidentiality by being cautious about the information given over the phone keeping in mind that other people may hear your conversation.
  • Staying calm and polite even when a patient/visitor may be rude to you.
  • Responsible for keeping the area clean and organized.
  • Register new patient and updates existing patient demographics by collecting detailed patient information including personal and financial information (ex. co-payments and insurance cards)
  • Scanning incoming faxes.
  • Communicate effectively with provider and other team members.
  • Facilitates the patient flow by notifying the provider or other medical staff of the patients’ arrival, being aware of delays, and communicating with patients and clinical staff.
  • Responds to inquiries by patients, prospective patients, and visitors in a good manner.

EDUCATION & CERTIFICATION:

  • A minimum of High School Diploma or General Education (GED).

QUALIFICATIONS, SKILLS AND ABILITIES:

  • Required
    • Bilingual Spanish (Fluent or Proficient)
    • Customer service skills experience
    • Excellent oral and written communication skills. Proficient interpersonal relations skills.
    • Must have strong computer skills to handle clerical tasks, including working with office and EMR systems.
    • Knowledge of: Internet Software; Microsoft Word; Microsoft Outlook; Electronic Health Records (EMR Software)
  • Preferred
    • Minimum of 1 year experience in a physician office.
    • Basic knowledge of health insurance products (HMO, PPO, HSA, Commercial, Medicare etc.)
    • Basic knowledge and understanding of CPT procedure coding and ICD-10 diagnostic coding a plus.
