What is the purpose of this Job?

The Purchasing Clerk prepares purchase orders and sends copies to suppliers, and departments originating requests. They respond to Manager and supplier inquiries about order status, changes, or cancellations. Contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems. Track the status of requisitions, contracts, and orders. The Purchasing Clerk will need a high level of attention to detail and the ability to monitor and maintain computerized records related to purchasing activities.

Job Responsibilities - 

• Review invoice information for accuracy and completeness before creating a Purchase Order
• Create and submit purchase orders to vendors.
• Review vendor acknowledgment and COGS
• Track inventory levels and reorder stock as needed.
• Track the status of requisitions, contracts, and orders.
• Build and maintain relationships with vendors.
• Performing a variety of secondary support tasks as requested
• Attending and participating in all required and requested safety meetings and training sessions.
• Learning to identify specific needs of doors and operators along with appropriate parts for each specific brand.
• Retaining an appropriate level of product knowledge for products offered.

Skills & Qualifications - 

Clerical Skills: Proficient in administrative and clerical procedures, including word processing, file management, form design, and other office protocols.

Client Service Skills: Capable of collaborating with multiple departments, ensuring quality service delivery, and evaluating customer satisfaction.

Relationship Management: Strong abilities in developing and managing relationships, especially in vendor relations and contract management.

Communication Skills: Effective verbal and written communication with vendors, shipping companies, and internal stakeholders.

Computers and Electronics: Knowledge of basic Windows Microsoft Office Software including Word, Excel, and Outlook as well as basic computer knowledge including creating and editing PDF files, web browsing, and knowledge in Service Titan is a plus.

Mathematics: Strong mathematical skills for accurate cost calculations and completion of purchase orders.

Physical Requirements - 

• Light work – Able to lift up to 15 pounds of force.
• Talking – expressing and exchanging ideas by means of spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
• Hearing – perceiving the nature of sounds at normal speaking levels or without correction. Ability to receive detailed information through oral communication, and make fine discriminations in sound.
• Visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and expansive reading.

Schedule-

• 8 hour shift
• Day shift
• Monday to Friday

* Our company's pay period is Sunday through Saturday, with WEEKLY payroll! That means payday is EVERY Friday! *
