Phoenix Senior Living is seeking an Accounts Receivable Specialist to join our team!

The AR Specialist reports directly to the Regional Reimbursement Manager.

PURPOSE

As the Accounts Receivable Specialist, you will serve as an integral part of our organization ensuring accuracy and efficiency of processing and monitoring incoming payments. This role will be critical in securing revenue by verifying and posting receipts. The AR Specialist will be required to review account information, correct discrepancies, and ensure that accounts are properly billed and that payments are collected.

PRINCIPLE DUTIES AND RESPONSIBILITIES

Accounts Receivable

  • Processing Transactions
  • Reconciliation and Verification
  • Payment Facilitation
  • Financial Reporting
  • Performing day-to-day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivables’ data
  • Process accounts and incoming payments in compliance with financial policies and procedures.
  • Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
  • Verify discrepancies and resolve clients’ billing issues.
  • Verify signed contracts are added in systems.
  • Analyze and report on the outstanding accounts of the communities on a monthly basis
  • Provide on-going A/R and cash collection analysis to support and reduce receivable balances
  • Process write-offs in billing system and make recommendations for process improvements to reduce future write-offs
  • Submit accounts to collection agency and monitor account for disputes
  • Facilitate payment of invoices due by sending bill reminders and contacting clients
  • Generate financial statements and reports detailing accounts receivable status.
  • Processing, verifying, and posting receipts for goods sold or services rendered.
  • Researching and resolving account discrepancies.
  • Maintaining records regarding payments and account statuses.
  • Generating reports and statements for internal use.
  • Engaging in ongoing educational opportunities to update job knowledge.
  • Setup and process EFT and CC/Debit payments
  • Reconcile discrepancies between AR deposits and bank accounts.

Compliance/Safety

  • Complies with accounting law and Phoenix policies and procedures
  • Ensures compliance against all state and federal regulations

Problem Solving /Communication

  • Demonstrates the ability to be innovative and creative and have patience, high energy and resourcefulness in problem solving
  • Understands the internal cost and impact as it relates to deadlines set against this position
  • Participates in regularly scheduled meetings with the Home Office and Communities
  • Coordinate with Community Business Office Managers in preparing bills receivable, invoices, and bank deposits.
  • Working with auditors on SOX testing and audit requests
  • Obtaining information from other departments to ensure records are accurate and complete and that accounts receivable ledgers and journals are up to date.
  • Working with the collections department to review accounts, client payments, credit history, and develop new or better repayment terms.
  • Provide support for Online Portal processing.

EDUCATION/EXPERIENCE/LICENSURE- CERTIFICATION

  • Bachelors degree in Finance, Accounting or Business Administration
  • A minimum of 5 years of proven experience is required as an Accounts Receivable Clerk, Accounts Receivable Manager, or accountant.
  • Solid understanding of GAAP, fair credit practices and collection regulations
  • Proven ability to calculate, post and manage accounting figures and maintain financial records.
  • Hands-on experience in spreadsheets and accounting software (i.e., Excel, Yardi, Point Click Care)
  • Proficiency in English and in MS Office (i.e., Word & Excel)
  • Customer service orientation and negotiation skills with an ability to build relationships with customers and key company personnel.
  • Excellent communication, research, problem-solving, and time management skills.
  • High level of accuracy, attention to detail, efficiency, and accountability.
  • Experience with Medicare billing, a plus.
