OMSI - Oregon Museum of Science & Industry is Hiring a Director of Facilities Operations Near Portland, OR

The Director of Facilities Operations is responsible for the development, oversight and implementation of strategies that maintain and improve facilities operations and guest experience related to maintenance, custodial, safety and security, mailroom and parking operations at our Water Ave museum, buildings across the OMSI campus, and in two remote locations (Newport and Fossil, OR).
The position manages and professionally develops teams to achieve OMSI's goals. The position is responsible for ensuring that all facilities are safe, well-maintained environments that enhance the overall OMSI guest experience alongside achieving OMSI's sustainability goals.
Collaborating with teams across the organization, the position will support OMSI's strategic objectives and values with a focus on staff development, cultural competency, guest relations management, and leveraging data to achieve financial and sustainability goals.
Essential Duties and Responsibilities :
  • Strategic Leadership :
    • Leads strategic planning and implementation of OMSI initiatives aligning with our 5-year vision, 20-year vision, and the Equity Action Framework (EAF);
    • Develops and implements data-driven long-term facilities maintenance plans to achieve organizational and operational goals;
    • Evaluates current practices and stays current with professional, safety, and industry standards to meet the need of various spaces across the OMSI campus, in addition to planning for changing needs to the staff and the public;
    • Identifies opportunities to improve energy efficiencies, reduce waste, and implement environmentally friendly practices within departmental teams;
    • Plans and manages large-scale strategic projects including the implementation of significant facilities projects, including vendors, timelines and project budgets.
    • Advises the Leadership Team on strategic facility planning and space management opportunities.
  • Security & Safety Oversight :
    • Oversees industry and OSHA safety standards, practices, and training for all staff;
    • Oversees the strategic direction of the security department and collaborates with the Safety, Health, & Security Manager to ensure a secure environment for employees, visitors, and assets, with an emphasis on advancing OMSI's commitment to racial equity;
    • Oversees emergency preparedness and safety standards and systems, including the delivery of staff training and communication.
  • Facilities Management :
    • Oversees the custodial, landscaping, mailroom, grounds, and maintenance operations;
    • Provides regular support and guidance to Facilities staff at our satellite locations (Camp Gray in Newport, OR and Hancock Field Station in Eastern OR) for emerging maintenance needs, and facilitates communication with relevant stakeholders for consultation and special projects, as needed;
    • Directs the development and implementation of policies and standards for museum building operations, as well as ensuring compliance with administrative, legal, and regulatory requirements among new and existing relationships, e .g. reviewing processes with vendors, contractors, city personnel, and others for projects;
    • Collaborates with internal and external project managers, architects, and contractors for new facilities and renovations;
    • Strategizes with teams to develop and track sustainability goals across OMSI locations (e.g. renewable energy installations, water conservation measures, waste management strategies, etc.). Collaborates with the Senior Maintenance Engineer to generate reports and deliver presentations to communicate findings, track progress, identify areas for improvement, and develop strategies for achieving sustainability goals.
  • Budget Management:
    • Directs and oversees budgets, identifying strategies to reduce costs and improve services;
    • Oversees Security, Maintenance, Parking, and Custodial management in the creation of departmental budgets and re-forecasts;
    • Ensures compliance with administrative, legal, and regulatory requirements.
  • Personnel Management :
    • Manages the Portland-based Facilities and Security Management team (~5 staff) and indirectly supports their direct reports (~30 staff) by providing them with mentorship and coaching to enhance individual and organizational knowledge and capabilities. Builds and manages a positive, collaborative team;
    • Prepares and facilitates the development and implementation of staff work plans, and provides regular 1-on-1s, check-ins, regular team meetings, and performance reviews;
    • Serves as the point of contact for internal and external issues related to the Water Avenue campus and at the Camp Gray and Hancock Field Station sites.
Working Conditions :
  • This position is exempt, paid salaried;
  • This position is regular full-time scheduled for 40 hours/week;
    • Requires working onsite at the museum location;
    • Scheduled to work Monday-Friday. Schedule expectations can be discussed with the VP of Facilities & Real Estate to provide flexibility and address museum needs;
    • Requires working on some weekends, holidays, special events, and/or evenings as needed;
    • Requires 24-hour on-call duties for critical systems.
  • Physical Demands: 35% sitting, 35% standing, 30% lifting/carrying up to 50 lbs;
    • Requires regular movement for maintenance-related tasks-including but not limited to-crouching, bending, stooping, climbing, crawling, kneeling, and twisting.

    • Possesses a strong knowledge and understanding of HVAC systems, lighting systems, and other mechanical systems used in facilities maintenance operations. Must be able to:
      • Understand and stays up-to-date on maintenance requirements and repair procedures;
      • Troubleshoot complex mechanical issues and works on optimization;
      • Analyze relevant data to diagnose problems and implement effective solutions.
    • Exhibits a high level of attention to detail when conducting inspections, performing maintenance tasks, and managing documentation. This ensures accuracy in identifying potential issues, documenting maintenance activities, and maintaining proper records of equipment, repairs, and budgets.
  • Facilities Maintenance Leadership :

    • Possess the knowledge and skills to develop comprehensive emergency response plans that cover a range of potential hazards and incidents. This includes conducting risk assessments, identifying critical response actions, establishing communication protocols, and coordinating with relevant stakeholders to ensure a prompt and effective response during emergencies.
  • Environmental Sustainability Practices :
    • Demonstrates a comprehensive understanding of relevant environmental regulations and certifications in the field of sustainability. Stays updated on changes in regulations and ensures OMSI's compliance with applicable laws and standards.

Education & Work Experiences:
REQUIREMENTS:
  • Minimum of 8 years experience with the following:
    • Experience working in a commercial or industrial setting, with an emphasis on mechanical, electrical, plumbing, refrigeration, tenant improvements (painting/office remodeling), and preventative maintenance;
    • Demonstrated experience working with and effectively troubleshooting HVAC, climate control, and lighting systems;
    • Examples and experience with developing, managing, and/or re-forecasting budgets;
    • Demonstrated experience working effectively with people of diverse backgrounds and talents in a professional work environment;
    • Experience working collaboratively in both small and large teams/departments/projects.
  • Minimum 5 years supervisory experience, with an emphasis on best practices in staff professional development-leading by example, mentorship, and identifying areas for growth and improvement;
  • Examples of effective customer service skills and abilities that demonstrate the ability to interact, engage, and communicate with people of various professions and technical abilities.
