GENERAL DESCRIPTION OF POSITION The Maintenance Project Specialist is responsible for effectively planning and maintaining work schedules, estimating, and monitoring job costs, and ensuring the efficient utilization of workforce and equipment. The Maintenance Project Specialist III ensures his/her assigned initiatives are delivered on time/budget and meet or exceed business expectations by 1) partnering with the internal/external project team to solve the business problem(s) at hand and making recommendations to Management, 2) providing structure and adhering to quality standards procedures, and 3) anticipating and resolving risks and challenges. This role is also responsible and accountable for planning and scheduling work related to all Field Services operations. Responsible for accurate data collection and submission of all service requests and work orders for input. This position will work closely with the Project and Initiative Manager in coordination of work schedules and job planning utilizing available resources in the most efficient manner possible. ESSENTIAL DUTIES AND RESPONSIBILITIES Oversee and direct PPM projects and strategic initiatives, ensuring high-quality execution throughout the project lifecycle. Establish reporting schedules to update stakeholders on project statuses. Create and manage centralized folders and templates for project and program documentation. Monitor and control the scope and budget of projects and programs to prevent overruns. Report on project and program status, including timelines, milestones, quality of execution, and any issues. Coordinate and manage resources both internally and externally, while maintaining effective relationships and setting clear expectations with Project Sponsors, Project Leads, and Project Teams. Schedule and plan Field Services' operational activities specific to Maintenance projects. Proactively identify and communicate risks and challenges related to assigned projects and initiatives to the Project and Initiative Manager. Track and quantify both financial and strategic benefits derived from projects. Generate accurate reports detailing work schedules and work orders. Analyze production schedules to estimate required labor hours and materials for Maintenance projects. Lead the planning, execution, and completion of Maintenance projects, ensuring activities align with pre-established schedules. Manage dispenser replacements from survey to installation, coordinating with relevant departments. Work with multiple departments to coordinate projects that impact site maintenance and equipment upkeep. Oversee the implementation of select preventative maintenance programs across all stores. Solicit and compare bid proposals from multiple trades and contractors for various projects. Support project planning efforts by assisting in budgeting and resource identification as necessary. Administer monthly financial accruals for all projects and maintain an updated summary of project expenditures relative to budgets. Perform any other related duties as required or assigned.
