Position Overview: The Operations Coordinator is responsible for managing various types of project information including documentation, submittals, material purchase orders, as well as material delivery schedules. This position maintains continuous contact with Estimating, Project Managers, Field Consultants, Field Operations, and Vendors.

Key Activities:

  • Verifies project scopes of work and design documents to gather specific applicable vendor submittal documents for alignment on project deliverables.
  • Collaborates and communicates with Sr. Operations Coordinator on owner approval process for submittals through various platforms including meetings, email, and online portals.
  • Coordinates with vendors to secure final quotes and generate purchase orders for fulfillment of materials.
  • Coordinates project material delivery schedules and logistics with internal and external stakeholders.
  • Communicates with vendors to ensure quality control of material deliveries is met.
  • Maintains ongoing project communication with Project Managers and site Superintendents for alignment on changes to deliveries, site status, etc.
  • Creates project specific installation crew packets for on-site superintendents.
  • Communicates project details through site Superintendent handoff meetings and kick finish documentation.
  • Participates in department meetings, project coordination meetings and other company wide meetings.
  • Strictly adhere to the corporate safety and drug-free workplace programs.
  • Perform other duties as assigned by the Operations Manager.

Skills Required:

  • Self-motivated and self-starting with a vision for growing the business
  • Works effectively independently and within a team environment
  • Ability to identify areas of improvement in processes and technology while being effective in leading teams through implementation
  • Ability to acclimate with a culture of accountability, trust, and fairness
  • Ability to quickly learn and acquire a thorough understanding of the athletic field construction business
  • Ability to focus and be attentive to detail.
  • Strong verbal communication skills
  • Cultivate and nurture relationships with vendor,customers,and team members
  • Work demands will typically require a 40-hour work week.

Professional Qualifications:

  • Two to five (2-5) years’ experience in Construction Project Administration/Logistics or education equivalency
  • Some knowledge of Adobe InDesign.
  • Knowledge of office software capabilities such as Email, Microsoft Word and Excel, and ability to conduct basic internet navigation activities
