SUMMARY

The Office Support V is typically the first interaction many people have with our department. This individual must maintain a professional demeanor and a willingness to treat all people with dignity and respect. The OSP V has direct contact with defendants, stakeholders and the general public. This role is responsible for an Administrative Caseload to ensure defendants comply with Court ordered conditions.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Direct in-person contact with defendants in order to carry out the essential functions of the department;
  • Frequently serves as first contact with the public; must conduct themselves in a professional manner, treating all people with dignity and respect in order to represent the department in a positive manner;
  • Foster an environment which promotes diversity, equity and inclusion;
  • Assist the Duty Supervisor in triaging the daily activities of the department including unexpected and unforeseen issues as they arise; keep the Duty Supervisor informed of all defendants and visitors requiring officer interaction;
  • Assist with monitoring of the waiting room and security cameras for potentially dangerous behaviors and/or suspicious activities;
  • Observe and secure Court ordered urine drug screen samples and process all samples for laboratory analysis;
  • May be required to work in various office locations including the Courthouse Sub-Office, Willow Grove, Lansdale and/or the Montgomery County Correctional Facility;
  • Review all correspondence pertaining to the caseload; respond to inquiries of defendants, family members, and partnering agencies; document all case specific information in accordance with departmental policy;
  • Facilitate the dispensation of cases at various stages in the criminal justice process, including but not limited to cataloguing, transferring inter-county and out of state, certification of sentences to the Pennsylvania Parole Board, closure at expiration and removal of records upon receipt of Court ordered expungement in accordance with office policy;
  • Record defendant's personal data, contact with defendant, treatment information, relevant Court documentation, and any other information that furthers case management goals. Information gathered will be maintained and updated on a regular basis in the defendant's case record;
  • Identify and conduct initial investigation of alleged violations on the Administrative Caseload and facilitate reassignment to a probation officer;
  • Familiarity with departmental tools and assessments;
  • Complete training and maintain compliance with Mandated Reporting Regulations through PA Child Protective Services Law;
  • Obtain JNET certification; maintain recertification;
  • Complete 16 hours of job-related training or further education on an annual basis as required by state standards;
  • Perform additional duties, tasks, and special projects as required.

QUALIFICATION REQUIREMENTS

  • High School Diploma or equivalent;
  • Previous office experience is preferred;
  • Must have typing, data entry, record keeping, and telephone skills;
  • Must possess oral and written communication skills;
  • Must be accurate, detail-oriented, organized, and have the ability to multi-task;
  • Must have the ability to work independently and in a team setting;
  • Requires professionalism and a commitment to treating people with dignity and respect;
  • May require local travel; a valid driver's license is preferred;
  • Undergo thorough pre-employment background investigation including drug screen.

Drug and alcohol testing is performed on individuals to ensure compliance with specific Court orders. Employees may be exposed to bodily fluids, which can potentially pose health hazards. Personal Protective Equipment is provided. There is further possibility of illness due to frequent contact with the public. Reasonable accommodations may be made in accordance with the Americans with Disabilities Act (ADA). The noise level in the work environment is usually moderate.
