The Maintenance Supervisor is responsible for performing and overseeing tenant requests, unit turns and preventative maintenance activities at rental properties within company portfolio. Supervisor contributes to hiring, training and overseeing maintenance technicians. This role includes ensuring completed tasks meet quality standards as well as meet all safety requirements. In addition, responsibilities include ownership of tenant service experience, work order processing/assignment, overseeing property turns from start to finish and ensuring properties meet all owner and HOA standards. This position consists of both office and field responsibilities.
Responsibilities
  • Work Order Management:
    • Completes and schedules assigned work orders and communicates status updates consistently to Maintenance Manager while ensuring quality standards are met
    • Responds promptly and professionally to tenant maintenance service requests with goal of 24 business hour response time or as assigned by Maintenance Manager
    • Contacts tenant with courtesy follow-up to ensure work order satisfaction
    • Provides excellent customer service to tenants and promotes a positive living environment striving for complete resident satisfaction and 5-star client survey response
    • Educates and reviews the Tenant Maintenance Responsibilities form with residents on common maintenance topics continuously
  • Maintenance Technician Management:
    • Assist Maintenance Manager with recruiting, hiring and training all Maintenance Technicians
    • Train maintenance technicians in repairs, processes, technology systems and company expectations
    • Manage daily schedules of Maintenance Technicians
  • Third-Party Trades:
    • Schedules and oversees third-party trades as needed to make repairs
    • Ensure third-party work meets IRS standards
    • Assist Maintenance Manager with hiring and managing third party trade partners
  • Preventative Maintenance/Bi-Annual Inspections:
    • Performs and manages areas of preventative maintenance that could be introduced to reduce long-term cost and deterioration of homes within portfolio
    • Manage and schedule preventive maintenance and any repairs within multiple trade categories on a perpetual basis to reduce service requests and long-term
    • Performs scheduled property inspections following Bi-Annual Property Inspection guidelines
  • Manage Move-Out Turns:
    • Identifies repairs needed to prepare unit for new occupancy
    • Create, assign and ensure completion of work orders & turn related tasks
    • Schedules and oversees all tasks requiring a third-party trade
    • Ensure all receipts and invoices associated with turn are appropriately collected and saved in file
    • Ensures property is Show-Ready within 15 calendar days
  • Work closely with Maintenance Manager to achieve team objectives
  • Perform On-Call duties as assigned by Maintenance Manager
  • Provide feedback and updates to Maintenance Manager with daily communication
  • Act as liaison between Maintenance Technicians or trades and Maintenance Manager
  • Willingness to commute to all properties in company portfolio as/when needed
  • Obtain approval of pricing for repairs outside of normal scope within provided threshold
  • Completes property condition assessments at all property visits and present findings to Maintenance Manager
  • Obtains approval from management and purchases maintenance supplies as needed for properties
  • Utilizes and cares for company supplied tools and materials properly
  • Performs other duties as assigned:
    • Serves as back-up for Maintenance Manager as needed
    • Serves as back-up for New Home Orientations
    • Serves as back-up for Client Services assigned work order to ensure use of warranty services when applicable
  • Comply with health and safety rules and regulations, as well as applicable local, state, and federal laws
  • Demonstrates leadership consistent with the TNL Platform

Results/Accountability:
  • Ensures team congruency with the True Difference
  • Ensures leadership congruency with Culture, People, and Platform (CPP) and TNL Platform
  • Manage tenant relations to achieve 65% or greater lease renewal goal
  • Manage leasing including pricing, marketing and appearance to achieve 93% or greater leasing goal
  • Ensure team achieves overall maintenance goals including preventative maintenance and tenant work orders
  • Develop project budgets and lead team to perform to budget goals
Qualifications:
  • High School diploma or equivalent
  • Prior supervisory experience required
  • Advanced knowledge of residential mechanical systems and residential maintenance work (plumbing, electrical, cosmetic repair, HVAC & appliances)
  • Excellent verbal and written communication skills
  • Valid driver's license
  • Ability to be at work on a regular and consistent basis
  • Must maintain professional appearance and comply dress code policy
  • Must comply with all safety regulations
  • Ability to rotate "on-call" responsibilities with team during weekends & holidays

Physical Requirements:

Working Conditions:
While performing the duties of this position, the associate is regularly exposed to outside weather conditions, which may include wet and/or humid conditions, and extreme cold or extreme heat.
