The Ortho Operations Manager will be responsible for overseeing the day-to-day functions of the orthodontic team and managing all non-licensed staff members. This role involves working closely with the orthodontic clinical team and Ortho Regional Operations Manager to ensure operational excellence and a consistent patient experience. The Operations Manager will be instrumental in implementing action plans to drive success and collaboration within the practice.
**Key Responsibilities:**- Ensure punctuality, attendance, and performance of key responsibilities in person at the office on a full-time basis.
- Model and promote the practice values with team members.
- Facilitate quality orthodontic care delivery to patients.
- Coordinate same-day care opportunities for patients and measure success effectively.
- Maintain staffing levels to optimize patient scheduling and minimize overtime.
- Manage office budget, cash flow, timecards, and payroll processing.
- Uphold monthly systems to achieve collection goals.
- Foster employee satisfaction, growth, and retention through effective communication and recognition.
- Provide training and development opportunities for team members.
- Achieve or exceed team performance targets consistently.
- Coach, develop, and manage team performance effectively.
- Conduct daily huddles and weekly meetings with operations managers.
- Assist with maintaining patient records and secure storage practices.
- Ensure compliance with company guidelines and regulatory standards.
- Collaborate with regional manager to measure office results and implement process improvements.
- Serve as the liaison between the office team, regional operations manager, and Smile Center.
- Participate in annual performance evaluations and salary recommendations for team members.
- Drive orthodontic growth and meet P&L goals.
**Qualifications:**- 3 years of experience in the dental industry, with a focus on orthodontics.
- 2 years of management experience.
- Knowledge of dental terminology, office procedures, billing, and insurance protocols.
- Proficiency in dental software such as Denticon, MS Excel, Word, and Outlook.
- Experience with payroll processing is a plus.
- Strong communication, organizational, and interpersonal skills.
- Ability to build relationships at all levels of the organization.
- Willingness to travel to surrounding offices and work flexible hours.
- Availability to address patient and operational issues outside of normal work hours if needed.
