In this role, the Project Analyst, EPMO, Enterprise Project Management Office ("EPMO") will be responsible for overall administration, project intake, reporting, and support for the EPMO's portfolio of large strategic, enterprise projects. This highly collaborative and energetic role will closely collaborate with project sponsors, external vendor partners, the project team, and functional leads to inform and shape the tools, frameworks and strategies used to manage the full project lifecycle. The Project Analyst, EPMO will also partner directly with Sr. Director, EPMO in establishing a framework for reporting on the status, performance, and other key aspects of the company's internal strategic internal project portfolio.
Key Responsibilities/Essential Functions
  • Develop, maintain, and implement program tools that facilitate creation of sound business cases for internal projects, including development of project scope, return on investment and desired business outcomes, resources and budget
  • Collaborate with EPMO and build a project toolkit that enables fit-for-purpose and consistent methods for all aspects of the project lifecycle including but not limited to project dashboards, project plan frameworks, risk and issue management templates, communication tools, close-out procedures
  • Establish and manage program toolkit and related system applications (e.g., Smartsheet, MS Project, etc.) and related templates and dashboards to permit consistent and repeatable methodologies, processes and tools to support the entire project lifecycle (planning, execution, risk management, etc.)
  • Establish, oversee and manage quarterly reporting framework for the internal strategic project portfolio, including creation of key performance indicators (KPIs) and/or objectives and key results (OKRs) for overall project portfolio and specifically for transformation programs to track and report on progress
  • Partner with business partners and EPMO to understand and manage interdependencies across large-scale projects and transformation programs, facilitate business leaders and project owners/sponsors decision-making process to ensure decisions, risks or issues are addressed in a timely manner
  • Partner with Capital Planning and provide budget oversight for the internal strategic projects, highlighting status against plan, areas where additional funding may be needed
  • Lead with a defined approach to project management, including command of project management systems and tools such as Power BI, Miro, Jira, MS Project or alternate
  • Regularly present and report to EPMO management, senior management, and project leads on overall project performance, status against the critical success factors and other key risks or opportunities that emerge
  • Foster strong rapport with business leads and team members to stay current on overall progress, to identify emerging risks, competing priorities and/or to facilitate dialogue around key decisions, risks/issues
  • Improve organizational and administrative processes for greater efficiency
  • Support EPMO project leaders by facilitating, note taking, maintaining meeting minutes or other project support needs during key project meetings, large, facilitated sessions and/or other critical business meetings
  • Participate in regular project administrative team meetings, project planning, budget and operational planning meetings
Basic Qualifications
  • Bachelor's degree; Masters' Business Administration (MBA) or advanced degree desirable
  • 5-7years' relevant operations or project management experience within the pharmaceutical or life science industry
  • 2-4 years directly acting as lead or with direct responsibility for operational, project or program administration or project management of moderately complex projects
  • Demonstrated knowledge of project management principles, applying these in a dynamic, fast-paced environment
  • Self-motivated, highly collaborative and proactive
  • Demonstrated ability to manage multiple competing priorities well, prioritize needs and adjust based on changing conditions
  • Ability to lead cross-functional meetings, drive productive discussion and engage audience towards making decisions
  • Ability to work with ambiguity and facilitate teams to translate needs into actionable plans
  • Self-aware and perceptive to recognize when messages or approaches are not resonating or being understood and can pivot
  • Ability to engage and/or bring clarity to the purpose for change and inspire teams to act
  • Demonstrated ability to influence and gain alignment in cross-functional and matrix teams
  • Excellent oral and written communication and presentation skills in English, with an ability to interact at all levels of the organization.
  • Strong and effective strategic thinker and problem solver with high degree of emotional intelligence, with the ability to both recognize and anticipate problems.

  • Proven ability to operate independently, with minimal direct day-to-day supervision
