Who we’re looking for:

GROUP SERVICE COORDINATOR

The Group Service Coordinator is instrumental in keeping our group’s up to date across the portfolio. This person is detail oriented, task efficient and self-sufficient with the ability to prioritize. In collaboration with the Group Services Team, this person would be dedicated to executing flawless service to each and every guest.

This position will be located onsite at Staypineapple Chicago.

What to expect:

Here are a few things that will make your days full and rewarding:

1. Audit group and event booking details to streamline the sales process. Including but not limited to comparing contract notes are translated into related PMS or CRM systems.

2. Managing the flow of information for accuracy and clarity when communicating with key stakeholders.

3. Data entry and coordination of sales tasks such as creating booking links, group and event actualized data entry, banquet check input and report preparation.

4. Building availability blocks, assisting with cut-off date management, reservation entry and inventory in coordination with the Group Services team.

5. Drafting documents for distribution including, creating initial group resumes, banquet event orders and rooming list templates, as well as uploading for hotel distribution.

6. Group accounting assistance such as tracking payment documents, commission paperwork and deposit details that are attached to the related bookings in the necessary systems.

7. Update third party content such as availability calendars for blackout dates or hotel offers to drive inquiries.

8. Communicate as a liaison between the sales, services and hotel operations team for a seamless guest experience.

9. Special projects based on group needs, including drafting restaurant guides, welcome letters, vendor referrals and researching tools and resources for groups as needed.

Your experience and qualifications:

1. One to two years of experience with either a Hotel (front desk, event, banquets, accounting or operations) or event planning.

2. Strong organizational, problem solving, decision-making and interpersonal skills.

3. Excellent customer service, conflict resolution and communication skills.

4. Detail oriented and manages time well.

5. Knowledge and adaptability to learn various PMS, POS and CRM software’s.

6. Familiar with Google and Microsoft Office products.
