Description
Job Summary
The Administrative Assistant will serve as a member of the Community Care Team and assist in various duties as assigned by the Community Care Director. The Administrative Assistant will assist with day to day operations and assist with helping with events
Essential Responsibilities & Duties
Office
  • Assist leader with basic office communications (email, letters, phone calls, etc.) as requested.
  • Update the website calendar with events related directly to the department.
  • Maintain communication among department personnel in regards to upcoming events.
  • All general office duties (correspondence, phone calling, computer tasks, scheduling appointments, mail, email, ordering of supplies, maintaining a filing system, etc.).
  • Compose letters when requested and assure all correspondence is completed in a timely manner.
  • Assist the Community Care Directors in the management of their calendars (including the scheduling of appointments, the updating of her Outlook calendar, etc.)
  • Oversee daily management of department purchase orders.
  • Assist with Budget as needed - prepare documents
  • Coordinate departmental Espace requests
  • Assist is gathering information as requested
  • Department Communication -Assist with sending communication to Executive Lead
  • Perform other related duties as assigned.
Benevolence
  • Point person for scheduling all Benevolence appointments - working with counseling
  • Preparation files/charts and gather information needed for all appointments
  • Phone verification of information provided and requests for further information which would be beneficial to the director
  • Follow up on references: Personal & Employment
  • Checking Case-net
  • Follow-up will Follow-up Care
Point Person for Scholarships
  • DSN, SMC, and Youth/Kids Camp
Season of Giving
  • Manages gift disbursement
Assist with vetting and finding families in need
  • Budget Counseling
  • Assists with scheduling appointments for people who need/want budget counseling
Prison Ministry Gifts
  • Assists with ministry, outreach
Widow Care
  • Maintain Master List
  • Monitor List of Care needs
  • Follow up Care twice a year
On Going Community Care Team
  • Maintains list of Dream Teams who serve on Community Care
  • Gather's information when a need comes in
  • Informs Director of needs
  • Administrative Assistant will follow up and connect Dream Teamers to help meet the need if the Director approves.
Requirements
Job Requirements
  • Two (2) years of general clerical experience; OR
  • Any equivalent combination of training and experience.
Knowledge, Skills, & Abilities
  • Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment; as well as English usage, spelling, grammar, and punctuation.
  • Ability to manage people.
  • Ability to get along well with others and handle confidential matters.
  • Ability to manage time and multiple priorities to meet deadlines.
  • Ability to communicate effectively and professionally orally and in writing.
  • PC skills including spreadsheet, database query and word processing.
  • Must be punctual, pleasant and tactful with professional appearance and conduct.
  • Exhibit professionalism and maintain confidentiality at all times.
  • Capacity to interact positively with and provide service to others at all levels within JRC.
  • Ability to establish and maintain effective working relationships with supervising personnel, coworkers, civic organizations, business professionals, and the general public.
  • Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
  • Ability to work in a fast-paced environment while meeting critical deadlines.
  • Must have strong analytical skills.
