Department of Insurance Opportunity

TheIdaho Department of Insurance (DOI) is looking for an Office Specialist 2. Ideal candidates are friendly, engaged and organized individuals as they will be in the mail room / front desk for the Department. This position distributes mail for the agency, serves as back-up to the front desk, and processes daily deposits and payments. This role will interact with many business units within the Department of Insurance along with other state agencies. The schedule for this position is Monday through Friday from 8:00 am to 5:00 pm with paid holidays and paid time off. This position will need to be able to deliver daily deposit by walking to the Borah Building in Downtown Boise.

RESPONSIBILITIES

  • Receives, verifies, sorts, and distributes incoming staff mail and packages;
  • Processes incoming money and documents for deposit;
  • Sets up Excel spreadsheet to enter and balance check information;
  • Enters various types of data into the statewide accounting system;
  • Performs inventory of fixed assets.

MINIMUM QUALIFICATIONS*

Good knowledge of:

  • Rules of effective business English usage, spelling, punctuation, and grammar. Typically gained by successful completion of a high school or college English course; OR at least six (6) months of work experience using the rules of effective business English; OR successful completion of a nine (9) month to one (1) year office administration course beyond high school.

Experience:

  • Using alphabetical, numerical, or subject filing systems to include determining file names, setting up new files, classifying, labeling, filing, and retrieving. Typically gained by successful completion of a high school or college English course; OR at least six (6) months of work experience using the rules of effective business English; OR successful completion of a nine (9) month to one (1) year office administration course beyond high school.
  • Reviewing documents for compliance with established procedures. Typically gained by at least six (6) months of work experience where you were responsible for reviewing documents to ensure forms were properly completed and compliant; OR successful completion of a nine (9) month to one (1) year office administration course beyond high school.
  • Using a computer to enter and retrieve information. Typically gained by at least six (6) months of experience using a computer to enter and retrieve information in a professional setting.
  • Answering a business telephone using knowledge of business telephone procedures and etiquette. Typically gained by at least six (6) months of work experience answering a telephone in a professional capacity, using proper business telephone procedures and etiquette.

PREFERRED/DESIRED QUALIFICATIONS:
Some Knowledge of:

  • Using basic Microsoft Office programs, including Outlook, Word, and Excel.

Experience:

  • Operating a ten-key calculator by touch;
  • Using basic math skills professionally;
  • Entering and retrieving data using a computerized record system;
  • Maintaining strict confidentiality of non-public information.
