High Point Academy is a public charter school serving students preschool through 8th grade. Located in Aurora, CO, just north of Green Valley Ranch (10 minutes from Denver International Airport), HPA serves an ethnically diverse student population which includes 26% linguistically diverse students and 59% of students that qualify for Free or Reduced Lunch. Summary :

HPA teachers possess a school-wide focus and can see beyond their classroom to create a unified HPA community.

As a representative of the school, the Director of Operations must present a professional, courteous, and friendly attitude when interacting with students, parents, staff, and the public. This position requires the Director of Operations to remain calm and poised in stressful situations and work toward solutions and possibilities. The Director of Operations maintains confidentiality and uses discretion in all aspects of communication. The Director of Operations strives to enhance the programs and experience for all students at High Point Academy.

Key Responsibilities:

Personnel Management

  • Supervises and meets weekly to review projects and offer support
    • Facility Manager & Assistant
  • IT Manager
  • Receptionist
  • Health Clinic Assistant
  • Manager of operations

Information Management

  • Responsible for communicating daily announcements to staff via email
  • Responsible for communicating school closures or delays due to inclement weather or emergencies to 9News/FB, school phone system, contacting DPS food service, Substitute Staffing, Innovation Learning, Aurora Police Traffic Control.
  • Assisting manager of operations with sharing emails, text, phone updates to staff and families when necessary; ex: dress down day reminder, release of report cards, school events.
  • Responsible for managing the school Facebook account, posting pictures, approved ad's, upcoming event reminders.

Marketing and Development

  • Create and implement events that promote recruiting and retention of HPA students.
  • Develops partnerships with local business owners through frequent contact, such as in person visits.
  • Creates and orders marketing materials to promote HPA and to ensure enrollment goals are met.
  • Works in close partnership with the Director of Human Resources and Business Service

Coordinator to ensure clear communication of enrollment goals and benchmarks are being hit. Evaluating the use of different marketing tools to maximize the largest value per enrolled student.

Governing Board/CSI Reporting

  • Helps manage the Governing Board documents for all Board members and Executive Director.
  • Posts Governing Board Meeting Agenda on HPA Website and on Office door 24 hours prior to meeting
  • Posts Governing Board meeting minutes to HPA Website monthly.
  • Plans and delivers updates to the HPA Governing Board on projects when requested by the Executive Director.
  • Assists the Executive Director with any required reporting to CSI.
  • Develops, maintains and submits the school safety plan to CSI.

Fiscal Management

  • Follows all Financial Policies and Procedures of High Point Academy
  • Manages competitive bidding and selection process as outlined in the adopted Financial Policies. If the cost is over $5,000, must obtain a minimum of three bids.
  • Facilitates external vendor contracts, maintaining complete and accurate records, W9, certificate of liability insurance and signed copy of contract.
  • Renews Certificates of Good Standing annually on Secretary of State Website.
  • Works with the Business Service and Enrollment Coordinator to prepare, execute, and track Purchase Orders.
  • Tracks and audits subscription use to ensure proper use and volume of licenses.
  • Works with faculty to determine ordering curriculum and subscription needs; purchases curriculum as needed, inventories, and maintains records of curriculum shipments
  • Inventory all school materials including curriculum, technology, and resources. When necessary, labels materials as needed for grants.
  • Plans and executes annual employee check-in/checkout process.
  • Manages/Supports/Orders materials for school printers, poster maker. Manages contract for printers, internet, cell phones, marquee, security system, and any other school wide services.
  • In collaboration with Operations team the Director provides guidance to the ED and board regarding building updates/repairs, use of foundation funds for the football field, etc.

Denver Public Schools Food Service Liaison

  • Manages food service program, ensuring HPA's wellness guidelines are given priority, coordinating to make food available on all school days, and works with teachers when to-go lunch is needed for field trips, as well as other adjustments (ie. Family Thanksgiving meal)
  • Works with DPS IT and FRL staff directly to ensure applications are processed accurately and our students are counted correctly.
  • Pull exports from Infinite Campus weekly beginning in July to send to DPS with changes and additions of SASIDS.
  • Meets with kitchen manager and regional manager to ensure program is operating successfully
  • Advises the leadership team on the use of cafeteria space including use of microwaves, delivery of food from families, number of students per lunch period, etc. Provides quarterly updates on the effectiveness and efficiency of our food service programming.

Innovation Learning Liaison

  • Meet monthly with Site Coordinator, to ensure program is running smoothly.
  • Meet quarterly with Site and Area Director to ensure curriculum is being implemented as contracted.
  • Meet annually with Director of Operations Owner, CEO to review program offerings and summer camp, renew contract.

Aurora Police Department/ Traffic Control Liaison

  • Coordinate with APD schedules for morning arrival traffic control
  • Coordinate with APD schedules for afternoon dismissal traffic control
  • Coordinante with APD to arrange yearly coverage of 64th and Dunkirk including schedule, payment and communication.

Children's Hospital Liaison

  • Manage, review, and renew contract with Children's Hospital RN services
  • Work with Health Clinic assistant to ensure contract support services are being delivered

Safety Committee Lead

  • Leads the school's emergency preparedness efforts and responds to crises. Develop, implement, and monitor the school wide plan to ensure the safety of students and staff in accordance with established school policies and procedures
  • Plan and present safety training annually for staff.
  • Update and submit Emergency Response Plan for CSI submission
  • Inventory Emergency Response plans, evacuation plans for each classroom
  • Plan an annual drill schedule. Coordinate with outside departments (such as fire) for evaluation/support with school drills.

Other Duties

  • Create, communicate and support daily carpool arrival/dismissal procedures through planning and training for staff.
  • Creating Inclement Weather Procedures
  • Managing Facility usage and rentals including use of community space, use of building by outside partners, and annual classroom changes/building updates.
  • Managing and overseeing the daily operations that are necessary for a safe and working building including the forecasting of updates and repairs.
  • Participate in decision making that will impact operations of the school
  • Coordinate partnerships for school pictures, yearbook purchase, Scholastic Book Fair, etc.
  • Coordinate with PTO President to hold elections, facilitate monthly meetings and monitor the PTO budget/fundraisers.
  • Plan, coordinate and communicate with outside partners and school staff to provide after school programming to students.
  • All other duties as assigned

Experience and Knowledge

  • Preferred a minimum of three years accounting and or school finance, cash management and budgeting experience
  • Working knowledge of accounts receivable and payable

Working Conditions

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee regularly is required to stand. The employee is regularly required to walk. The employee must regularly lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, color vision and ability to adjust focus.

WORK ENVIRONMENT:

While performing the duties of this job, the employee is occasionally exposed to outdoor weather conditions. The noise level in the work environment is usually moderate, noise levels do increase with student and parent traffic at peak times of the day.
