Summary :

HPA teachers possess a school-wide focus and can see beyond their classroom to create a unified HPA community.

As a representative of the school, the Director of Operations must present a professional, courteous, and friendly attitude when interacting with students, parents, staff, and the public. This position requires the Director of Operations to remain calm and poised in stressful situations and work toward solutions and possibilities. The Director of Operations maintains confidentiality and uses discretion in all aspects of communication. The Director of Operations strives to enhance the programs and experience for all students at High Point Academy.

Key Responsibilities:

Infinite Campus (IC)

  • Leads use and training of infinite campus for all staff members
  • Takes initiative to learn all of the ways IC can be used to collect information, communicate, and monitor the educational experience of scholars at HPA
  • Uses IC to communicate with families,
  • Creates grading structure in IC, monitors grade entry into the system each quarter, and provides grade reports to staff and families as necessary.
  • Creates training documents (one-pagers, short videos) for staff to reference for key uses of IC expected at HPA.
  • Collaborates with other schools when possible to increase HPA's effective use of infinite campus for data entry, grading, recording communication with families, discipline, attendance, etc.
  • Creates school schedule in Infinite Campus.
  • Establishes systems for collecting student funds through IC, following up on unpaid funds, and collecting funds if a scholar transitions from HPA (if needed).

Student Attendance

  • Creates monthly student attendance reports for admin and builds ways to celebrate, increase, and monitor student attendance to meet a 94-96% attendance rate.
  • Follows state guidelines for attendance to communicate with families monthly for students who have a high number of abscess,including phone/mail communication and coordination with the truancy office.

School Events Coordinator

  • Responsible for communicating school closures or delays due to inclement weather or emergencies to 9News/FB, school phone system, contacting DPS food service, Substitute Staffing, Innovation Learning, Aurora Police Traffic Control.
  • Assisting Executive Director/Director of Operations with sharing emails, text, phone updates to staff and families when necessary; ex: dress down day reminder, release of report cards, school events.
  • Responsible for managing the school social media accounts, sharing celebrations/notifications with families, sending weekly email updates to families, and providing upcoming event reminders to the community.
  • Coordinate, communicate, and execute school-wide events such as monthly student assemblies, awards assemblies, field day, etc.
  • Create and implement events that promote recruiting and retention of HPA students.
  • Send Monthly newsletter to families that includes key dates, upcoming events, and school-wide celebrations.
  • Leads school tours for families, interested staff, and community members. Creates systems and routines tied to school tours that systematize the experience, can be used to train others, and highlight what sets HPA apart.

Office Manager

  • Keeps the front office clean, organized and welcoming for the community.
  • Creates and orders marketing materials to promote HPA and to ensure enrollment goals are met.
  • Keeps the staff lounge clean, welcoming, and updated for staff.
  • Coordinates process for getting mail/deliveries to staff.

Field Trips/Intensives

  • Creates, monitors and supports successful execution of field trips for each grade level including coordinating buses, confirming registration, monitoring budgets, coordinating volunteers.
  • Creates ways for school to increase the number of field trips offered to students aligned with vision for field work/experts/community service by increasing funding that allow all scholars to attend through school-wide fundraisers, seeking grants to cover the cost, and engaging families and local businesses.
  • Develops relationships with community partners who support school-wide events through donations, sharing of expertise, participation in the events, etc.
  • Using school-wide vision for intensives and building students as leaders, coordinates the process to share vision, collect/coordinate plans, provide feedback, and monitor success to ensure the events are organized, effectives and well run.

After School Student Activities

  • Coordinates with community partners and staff, when possible, to offer a diverse number of after school clubs and programs that are differentiated and appropriate for K-8 students at HPA.
  • Monitors enrollment, payment, attendance, and communication between after school program leader and community partners.
  • Responds in a timely manner to all questions, requests, suggestions regarding after school activities that come through email. Consistently monitors school info account to promptly respond to families and community partners.
  • Coordinates with athletic director regarding use of school spaces for after school activities.
  • Managing facility usage and rentals including use of community space, use of building by outside partners, and annual classroom changes/building updates.

Clerical/Ordering

  • Follows all Financial Policies and Procedures of High Point Academy
  • Works with the Business Service and Enrollment Coordinator to prepare, execute, and track Purchase Orders.
  • Tracks and audits subscription use to ensure proper use and volume of licenses.
  • Works with faculty to determine ordering curriculum and subscription needs; purchases curriculum as needed, inventories, and maintains records of curriculum shipments
  • Inventory all school materials including curriculum, technology, and resources. When necessary, labels materials as needed for grants.
  • Plans and executes annual employee check-in/checkout process.
  • Manages/Supports/Orders materials for school printers, poster maker. Manages contract for printers, internet, cell phones, marquee, security system, and any other school wide services.
  • In collaboration with the Operations team the Director provides guidance to the ED and board regarding building updates/repairs, use of foundation funds for the football field, etc.

Website Updates

  • Manages food service program, ensuring HPA's wellness guidelines are given priority, coordinating to make food available on all school days, and works with teachers when to-go lunch is needed for field trips, as well as other adjustments (ie. Family Thanksgiving meal)
  • Works with DPS IT and FRL staff directly to ensure applications are processed accurately and our students are counted correctly.
  • Pull exports from Infinite Campus weekly beginning in July to send to DPS with changes and additions of SASIDS.
  • Meets with kitchen manager and regional manager to ensure program is operating successfully
  • Advises the leadership team on the use of cafeteria space including use of microwaves, delivery of food from families, number of students per lunch period, etc. Provides quarterly update on the effectiveness and efficiency of our food service programming.

Working Conditions

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee regularly is required to stand. The employee is regularly required to walk. The employee must regularly lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, color vision and ability to adjust focus.

WORK ENVIRONMENT:

While performing the duties of this job, the employee is occasionally exposed to outdoor weather conditions. The noise level in the work environment is usually moderate, noise levels do increase with student and parent traffic at peak times of the day.
