The Georgia Department of Behavioral Health and Developmental Disabilities (DBHDD) is the state agency that focuses solely on policies, programs, and services for people with mental health challenges, substance use disorders, intellectual and developmental disabilities, or any combination of these. As Georgia’s public safety net, DBHDD operates six field offices and five hospitals throughout the state within three program areas: behavioral health, developmental disabilities and hospital services.

The main office for DBHDD is located in downtown Atlanta.
Job Description
Job Title: Developmental Disabilities Clerk
Pay Grade: YMW
Job Summary:

Perform a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment. Work is performed under the general supervision of a clerical or administrative supervisor.

A.Primary Duties and Responsibilities:

§ Provide customer service to internal and external customers; this includes answering calls, responding to requests for information or directing requests to the appropriate party when needed.
§ Provide general clerical support including data entry/maintenance, copying/distributing documents and materials, maintaining record-keeping and filing systems, typing, filing, sorting mail, etc.
§ Provide clerical support within assigned functional area (i.e., scheduling with providers, etc.).
§ Use independent judgment and initiative to perform administrative, clerical, and secretarial duties in support of I/DD programs or groups of employees.

B. Manage day to day routing of information (i.e., Adverse Action and Authorization letters) to/from Office of Waiver Services. Provider customer service report which includes but not limited to the following:responding to incoming mail, sending timely certified mail, phone calls and electronic requests; initiates and prepares documents in support of program/operation.

  • Responds to mail items and phone request according to program/operation policies and procedure.
  • Prepares and sends outgoing documents and other materials according to program/operation policies and procedures.
  • Prepares and sends faxes, e-mail, and other communication according to program/operation policies and procedures.

C.Maintains filing and record-keeping systems of Enhance Services (Additional Staffing), Adverse Actions with review letter, and other information surrounding waiver services.

1. Establishes and maintains organized, accessible, and current systems according to program/operation procedures.

2. Classifies, sorts, files, transfers and/or retrieves documents according to program/operation procedures.

3. Maintains confidentiality of records; releases information according to program/operation guidelines.

4. Purge documents according to program/operation guidelines.

5. Enter data into client information systems according to program/operation guidelines.
