Basic Qualifications
  • 3 years of related administrative and/or program coordination experience in a professional setting required.
  • College degree strongly preferred or an equivalent of education plus relevant business experience.
Additional Qualifications and Skills
  • Work experience with proven project management skills and the ability/flexibility to handle multiple projects simultaneously.
  • Experience collaborating across a team and bringing projects to fruition.
  • This position requires excellent relationship management skills and a willingness and ability to work with multiple groups within the Office for External Education in a fast-paced, high-energy environment.
  • Strong customer service, written and verbal communications skills.
  • Proficiency with Microsoft Office, Outlook, Zoom, and the ability to navigate multiple technology systems.
  • Prior experience in an academic environment is preferred.
  • Ability to assess and learn new technologies quickly.

Schedule
40 hrs. per weekMonday - Friday8:00 am - 5:00 pm
Must be able to work overtime hours in the mornings, evening and on weekends as required for program delivery.
Position Description
Corporate Learning, a business unit within the Office for External Education, is looking for a Program Coordinator to support its growing line of business. As a member of this fast-paced, innovation oriented and growing team, the Program Coordinator, reporting into the Assistant Director, will work closely with the whole Corporate Learning team to successfully deliver Executive Education programs and Corporate Learning. The position will communicate regularly with key program stakeholders, including faculty, clients, Office for External Education staff, and team members, to ensure all aspects of the corporate learning and executive education experience are designed and delivered successfully.
Specific responsibilities:
  • Works closely with Assistant Director, Corporate Learning to plan, organize, and execute the design and delivery of an assigned portfolio of complex, large scale Corporate Learning programs.
  • Creates and builds the Learning Management System (LMS) pages for a portfolio of programs, which includes creating program syllabuses, uploading session recordings and slides, and sending program announcements.
  • Collaborates with the Assistant Director and Faculty Directors on the scheduling of faculty speakers for Corporate Learning Programs.
  • Serves as administrative contact for a portfolio of programs, providing excellent customer-service and interacting with a sophisticated global clientele.
  • Coordinates pre-program faculty briefings and recruitment meetings as necessary. Coordinates the arrangements for onsite and virtual client meetings.
  • Assists Assistant Director with the arrangements for program site visits.
  • Collaborates and coordinates with Program Operations on the creation of registration sites and the transfer the necessary registration details for program participants.
  • Work with Program Operations to ensure all logistical arrangements, such as arranging hotel room blocks, catering, AV requirements, classroom set up, and transportation, are confirmed for a portfolio of programs.
  • Supports program delivery on site and virtually, working with clients ahead of and on program days.
  • Coordinates the printing of program materials: agendas, name badges, certificates etc. either working with internal stakeholders or with local vendors.
  • Creates program surveys and collects data in post-program reports for distribution to clients and faculty.
  • Coordinates and inputs Salesforce learner data for a portfolio of programs. Reviews, prepares, and submits invoices for payment.
  • Coordinates and is responsible for the faculty payment process for a portfolio of programs, including ensuring timely and consistent payments.
  • In conjunction with Corporate Learning team, establishes best practices for processes for program administration and support.
  • Provides administrative support to the department as needed.
  • Other duties as assigned.

Work Format Details
This position is based in Boston, but the work may be done primarily remote. Any remote work must be performed in a state in which Harvard is registered to do business (CA*, CT, GA, IL, MA, MD, ME, NH, NJ, NY, RI, VA, VT, and WA). Individual flexible and remote work options for this role will be discussed during the interview process. *Note: Harvard employees working in California must be exempt.
