Sammons Financial Group Companies is Hiring a General Services Specialist Near Sioux Falls, SD

What you can expect as the General Services Specialist:

Responsible for inbound and outbound mail processing, document imaging and other administrative responsibilities. Each individual will be assigned a primary role of either mail or imaging, but will be cross trained to support both functions as needed. Use inbound and outbound mail and imaging equipment to process incoming and outgoing documents for clients. Work together as a team to provide support to multiple business units through the processing of both physical and digital correspondence. Make designated corporate information available to users digitally by researching, preparing, scanning, indexing and delivering incoming mail and documents, including web-based documents, faxes, emails and printed documents.

  • Sort, open and prepare incoming documents for scanning in accordance with department procedures, quality and time standards, including delivery to internal departments.
  • Prepare and index incoming documents in accordance with department procedures, quality and time standards, including delivery to internal departments.
  • Use multiple web based tools to research and determine policy numbers to assign to paperwork received via mail, fax, web or emails.
  • File documents in accordance with established procedures and guidelines.
  • Maintain records in fiche, digital and paper form and become knowledgeable of all company numbers in reference to policies or agent's names or codes.
  • Perform routine quality control checks on departmental functions in accordance with established procedures and guidelines to ensure tasks are consistently completed in the correct manner as directed by up line.
  • Operate scanning equipment used to create digital images using established procedures and guidelines.
  • Perform data entry tasks by indexing digital images of mail, faxes, emails and web based documents in accordance with established procedures and guidelines, focusing on 100% accuracy.
  • Update limited customer information in the system of record.
  • Process inbound and outbound deliveries including UPS and FedEx.
  • Operate mail equipment used for processing inbound and outbound mail, following safe operating procedures, quality control initiatives and production time standards.
  • Work closely with other departments to ensure accurate administration of customer requests through timely turnaround of e-mails, phone calls, internal mail deliveries and outbound mail responsibilities.
  • Cross-train where necessary to provide overall department and team support.
  • Promote teamwork by supporting team members and sharing knowledge using the corporate shared values as the guide for all interactions.
  • Assist with testing of system enhancements or conversions, including all steps necessary for implementation as well as follow-up of any items after implementation.
  • Assist with Record Retention initiatives in accordance with established procedures and guidelines.
  • Assist management with training of new employees.

What we are looking for:

  • High School Diploma or equivalent preferred
  • 1-2 years' mail room, imaging or other related administrative experience preferred
  • Strong computer skills (i.e. Word, Outlook and Excel)
  • Good written and verbal communication skills
  • Demonstrated ability to work in a fast paced environment with high volume of work with minimal errors; high attention to detail
  • Proven ability to multitask and efficiently navigate through multiple network systems throughout the day in order to locate alpha, agency and policy lookups
  • Strong problem solving skills and adapt to frequent change
  • Ability to work efficiently and independently
  • Excellent organizational skills
  • Ability to sit or stand for long periods of time
  • Ability to lift and/or team lift 30 to 35 pounds on a regular basis
