Human Resources and Certification Support Specialist Department: Human Resources Unit: Support Non-Exempt Hourly Rate: Compensation range listed is based on average 1-15 years of experience, as determined by HR Grade 200 - Specific salary based on experience JOB SUMMARY This position will report to the Director of HR. This position will be responsible for the front desk of the HR department, employee's certifications, licenses and eAWFs for the school district. This position will provide quality services in an efficient, timely and professional manner. The position is responsible for providing a high level of customer service. This position will have a strong attention to detail for ensuring the employee certificate or license is valid and eAWFs are accurate and being paid according to the appropriate pay date. ESSENTIAL JOB FUNCTIONS Essential functions under the Americans with Disabilities Act may include any of the following duties, knowledge, and skills. Other essential functions may include, but are not limited to the following: Answers main line of Human Resources Department in a timely, positive, supportive, and professional manner and forwarding calls. Taking and ensuring messages are passed to the appropriate staff member in a timely manner. Greets and interacts with customers and the community in a timely, positive, supportive, and professional manner. Track and input certifications, licenses and permits for all required staff. Maintains accurate database of all required certificates and licenses required by the Michigan Department of Education (MDE). Responsible to ensure proper permits are timely applied for and approved through the MDE for staff. Responsible for timely applying for and finalizing approval of special education approvals through KISD and MDE. In July of each year, review and verify that all staff in positions requiring certificates or licensure have submitted to HR proof of certificates or licensure. Verify that any staff member on the list who do not have a certificate have a permit pulled. If no permit is in the Michigan Online Educator Certification System (MOECS) system, make sure a permit is pulled before the person returns to work. Send administrators a letter informing them of the requirements to get their administrative certification. Communicates with principals regarding the certification status of their teachers. Keeps abreast of District, state, and federal regulations regarding teacher certification; monitors and ensures District compliance with all laws and regulations. Run update status report of all staff who have a permit, certificate, or license every month for review with HR Specialist, HR Supervisor and Director. Process verification of employment, loan forgiveness applications, and unemployment claims. Compiles data for and prepares a variety of reports and recommendations required by the district, state and/or federal agencies as requested. Attends training, workshops, seminars, and conferences as required or appropriate to enhance job knowledge and skills. Other duties as assigned. QUALIFICATIONS Education and Experience: Associate degree. Minimum of one (1) year of experience in human resources. Preferred Qualifications: Experience working with a human resources information system. Experience with Michigan Department of Education certification requirements for public school staff. Knowledge, Skills, and Abilities: Ability to handling sensitive and confidential situations and documentation. Ability to effectively communicate both orally and in writing with diverse populations. Ability to work independently with minimal supervision. Ability to problem solve (listen, identify problems and solutions) and provide excellent internal and external customer service. Ability to work collaboratively and be a team player. Ability to work in a diverse environment and understand cultural competence. Ability to organize and compile data. Ability to work in a fast-paced environment, handle multiple tasks at the same time, and meet deadlines in a timely manner.
