Position Overview: We are looking for an outgoing and highly organized operations coordinator to assist with the management of daily business activities and administrative tasks. The operations coordinator's responsibilities include coordinating efforts to help the flow of business operations, organizing company events, arranging and assisting with employee training, managing budgets, and, liaising with clients.

To be successful as an operations coordinator, you should be able to resolve problematic situations efficiently and have excellent communication and organizational skills. Ultimately, an outstanding operations coordinator should be able to ensure the smooth daily operations of a business.

Key areas of responsibility: 

  • Assisting with the management of daily operational activities.
  • Performing administrative tasks, such as making travel arrangements, answering phones, scheduling meetings, etc.
  • Research, develop, draft, implement and revise business policies, procedures, methods, and guidelines. Evaluate and evolve current operational procedures and provide strategic recommendations for improvements as needed.
  • Managing office supplies and the maintenance of office equipment.
  • Maintain sensitive data in a confidential manner.
  • Assisting with project management by creating assignments, tracking progress, and resolving issues.
  • Observing, reviewing and analyzing processes to identify inefficiencies and areas where improvements could be made
  • Managing internal and external stakeholder relations.
  • Planning and organizing conferences, events, staff training, and employee engagement activities.
  • Helps assigned teams meet and exceed their goals and objectives.
  • Creates, prepares, and maintains documents, presentations and reports for internal and external stakeholders.
  • Serves as liaison to other team members, including interacting with managers of different areas of the organization, presenting findings to stakeholders and higher management.
  • Prioritize conflicting needs; handle tasks and requests expeditiously and proactively; and follow-through on projects to successful completion, often with deadline pressures.
  • Excels at [customer service, client services, relationship building, etc.].
  • Ensure compliance with organizational standards and procedures.
  • Critically analyze a problem and develop recommend solutions.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education/Experience Required: High school diploma/GED required. Bachelor’s degree preferred. Experience in office management or and administrative role. At least two years of operations experience required.

Computer Skills: Advanced proficiency with Microsoft Office applications. Intermediate proficiency with Google Office Suite applications. Ability to learn internal computer programs. Advanced data entry skills.

License Requirement: Must possess a valid state-issued driver’s license with current address and acceptable driving record. 

Oral Communication: Speaks clearly; Listens and gets clarification; Responds well to questions.

Written Communication: Advanced proficiency with business communications including but not limited to drafting letters, memorandums, reports, and emails. Writes clearly and informatively; Able to read and interpret written information.

Customer Service: Have a strong customer orientation and positive attitude. Able to respond to requests for service and assistance in a courteous and professional manner.

Adaptability: Adapts to changes in the work environment; Ability to work well under pressure and with tight deadlines. Ability to multitask and prioritize. A strong initiative and willingness to pitch in as needed on both small and large tasks.

Additional Skills: Proactive research skills used in seeing out opportunities to advance and improve the organization. Collaboration and teamwork skills, Excellent interpersonal skills to build strong relationships with colleagues. Great strategic planning and problem.
