About the Department:

To support the University mission through the development and implementation of policies, programs, and practices that attract, retain, and reward faculty and staff.

About the Position:

Facilitate the successful hiring of faculty and staff by providing high-level customer service skills to internal and external customers.

Responsibilities:

Recruitment Coordinator:

  • Assist with sourcing and recruiting candidates for difficult-to-fill positions when needed;
  • Coordinate search committee assistance to include scheduling interviews, booking candidate travel arrangements, and facilitating logistics to ensure a positive candidate and department/unit experience for high-level executive searches;
  • Screen and interview candidates as needed;
  • Serve as backup for other talent acquisition teammates;
  • Make job offers based on information received from teammates. Works with Workforce Planning and Onboarding Administrator; and
  • Other duties as assigned.

Customer Service:

  • Serve as a point of contact to applicants in person, via email, and by phone;
  • Serve as a point of contact for ATS support to departments/units with questions regarding recruitment processes, posting requirements/issues, search committee inquiries, and other talent acquisition-related visits/calls/emails; and
  • Develop strong relationships and coordinate with internal colleagues (workforce planning, HR consultants, and others) to ensure that customers are provided the best experience.

Metrics/Reporting/Data upkeep:

  • Ensures that all postings are updated as needed and applicants are moved to appropriate workflow states as positions are filled/closed; and
  • Maintain all search and recruitment-related files, accounts, and access.

Applicant Tracking System Administrator:

  • Serve as Applicant Tracking System (ATS) Administrator, acting as liaison for upgrades, issues, and requests; and
  • Serve as user acceptance tester for ATS-related enhancements.

Required Qualifications:

  • Knowledge of internet and software applications including Microsoft Office products, and HR Systems; principles and processes for providing customer service, including setting and meeting quality standards for services, and evaluation of customer satisfaction;
  • Skill and proficiency in Microsoft Excel;
  • Ability to edit communications for grammar, spelling, punctuation, and tone. Skill in effective oral and written communication;
  • Ability to effectively complete work and multi-task with frequent interruptions and handle sensitive information and maintain confidentiality;
  • Ability to effectively interpret policy, procedures, and best practices; and
  • Ability to maintain moderately complex records and ensure their confidentiality; follow verbal and written instructions; work under pressure and meet deadlines; resolve problems and complaints and work with customers sensitively and effectively; understand and interpret policies and procedures.
