Description
SUMMARY

Reporting to the VP of Operations, this role supports DI operations through a variety of functions and operations departments including operations support to the Design Studio, Engineering, Supply Chain, Production and Project Management departments. The Operations Analyst brings value to the team by breaking down silos between departments, as well as driving performance across each department, while fueling margin improvement. This role combines a deep understanding of processes and systems, with data management and analysis to identify key trends/relationships and recommend areas to optimize.
ESSENTIAL RESPONSIBILITIES/FUNCTIONS may include but are not limited to:
  • Provides day-to-day insights and reporting as well as long-term strategic analysis based on comprehensive data across projects and operations departments
  • Provides visibility and performance tracking to the operations departments by helping to build, maintain, and improve our data and reporting foundation
  • Works in and between operations departments to remove friction, identify knowledge or resource gaps and will work collaboratively to close the gaps so project objectives and client needs can be met
  • Tracks the health of projects to identify early warning signs which can identify opportunities for improvement, for both projects and clients who are at risk
  • Ensures appropriate project system set-up and project ownership, including project folders, Wrike project setup, etc.
  • Ensures project kickoffs from Sales to Project Success team and Creative Studio roles are scheduled and conducted as appropriate
  • Tracks month-end margin delivery performance across projects to identify and develop needed process or procedure enhancements
  • Generates and deciphers operations reports as needed including Salesforce reports, financial performance reports (EAC's), projected sales revenue reports, estimated hours into the project summary tracker month end reports, data review and any follow up reports requested
  • Provides input and support for on-going improvements and is a champion for continuous improvement across the business.
  • Facilitates Wrike integrity, integration, and knowledge based on data verification in collaboration with department leaders
  • Assists with pre-sale and sales efforts for RFPs, proposals, and project pursuits, including scope and schedule development
  • Facilitates weekly Design Intent Preview meetings (DIPs) to ensure optimum collaboration between project teams and operations leaders
  • Collaborates with Design, Engineering, Production, Supply Chain and Project Management department team leaders and serves as liaison between departments to promote transparent communication and consistent coordination
  • Develops, updates and monitors estimated vs. actual hours tracking documents/reports for Design and Engineering teams, with deliberate focus on estimated to actual costs across the business.
  • Maintains time and data entry ownership for assigned departments through Wrike and Sage
  • Collaborates with Director of Project Management on After-Action-Reviews (AAR) and attends AAR meetings to gain insight, and follows up by recommending process and procedures opportunities and implementing them across the organization accordingly
  • Reports and escalates any issues to the VP of Operations and/or the Director of Project Management in a timely manner, as needed.

EDUCATION/CERTIFICATIONS/EXPERIENCE
  • Bachelor's degree, with business management focus preferred
  • 4 years of experience in Operations, Project Management, Account Management, or Business Development with an emphasis in business operations and process development required
  • Previous experience in budget management, KPI development and operations required
  • Experience in Salesforce CRM and Microsoft Excel strongly preferred
