Job Title: Contracts/Acquisition Specialist

Job Summary:

This position is in support of the Department of Justice, United States Attorney's Office (USAO) - Eastern District of Virginia. This role involves providing administrative support for contract actions, including preparation of purchase request documents and communication with staff and vendors.

Responsibilities Include:

  • Providing administrative support to facilitate contract actions
  • Assisting with preparation of purchase request documents and statements of work
  • Communicating with staff and vendors to develop requirements and obtain quotes
  • Preparing reports for planning and management review, including running reports on Government websites and databases
  • Monitoring and preparing purchase request documents for contract actions and modifications in consultation with the Budget Officer (BO)
  • Entering data and running reports on a variety of financial and acquisition documents
  • Assisting with the preparation of financial and acquisition reports
  • Maintaining communication with customers and providing updates in a timely manner
  • Monitoring periods of performance on contracts and preparing modification request documents
  • Tracking period of performance end dates for new or modified contracts utilizing agency's tracking log
  • Communicating with both requisitioner and vendor regarding requirements and delivery schedules
  • Assisting with contract closeout, reconciliation/audit, and closeout memos

Required Qualifications and Skills:

  • High school diploma
  • 4 years of experience in administrative work
  • U.S. citizenship
  • Proficiency in Microsoft Office Suite, word processing, document management, business administration, and data entry
  • The experience and expertise necessary to perform the duties above

Desired:

  • Experience with funds management, procurement, acquisitions, finance, or accounting

Work Setting and Environment:

  • Monday - Friday, normal working hours
  • Work is to be performed at the U.S. Attorney's Office in Alexandria, VA
