Position Overview:

The ideal candidate(s) will thrive in the Reception position and understand the demanding requirements of being a true Gatekeeper and face of the firm. The hours are 8:30am-5:30pm Monday through Friday.

The firm is looking for an Office Assistant/Receptionist for the office in Radnor, PA. We offer a unique opportunity to work in a professional, supportive and challenging business environment. The Office Assistant is the firm’s face and voice to our business partners as well as an important representative of the firm’s corporate culture.

Tasks and Responsibilities:

  • Welcome and service the external guests
  • Coordinate the external meetings and maintain the Meeting Room calendar
  • Maintenance of the conference rooms and the external & internal office space
  • Track and order office supplies
  • Answering company switchboard
  • Manage the incoming and outgoing mail and couriers
  • Assist the Executive Team with administrative tasks such as booking travels, filing, expense reports, organizing of conference calls etc.

Candidate profile:

  • Relevant work experience with similar responsibilities is a plus
  • Experience with Google Suite (Gmail, Docs, Sheets, Slides), MS Office (PowerPoint, Excel, Word)
  • Knowledge of Dropbox, Salesforce, Concur not necessary but a plus
  • Ability to work quickly in a fast-paced environment
  • Able to adjust to sudden change

Detailed description of Tasks and Responsibilities

Reception

  • Welcome and service the external guests
  • Answering main company line (not high traffic)
  • Sign for and distribute all mail and packages (incoming and outgoing)
  • Greet the external guests and serve them beverages
  • Responsible for catering for all external meetings
  • Manage conference rooms
  • Manage Meeting Room calendar, assign rooms to meetings, register external guests
  • Prepare conference rooms with necessary equipment/water/coffee/snacks
  • Ensure phones, TVs, and Video Conferencing Equipment are working

Maintenance

  • Maintain cleanliness and tidiness of lobby area
  • Ensure that the printer room looks nice and tidy
  • Responsible for keeping wet bar and kitchen area clean
  • Monitor dishwasher and coffee machines

Administrative Assistance

  • Help with travel bookings as needed - including flights, hotels, rental cars and transfers
  • Maintain birthday list and office celebrations
  • Expense Reports
  • Order office supplies
  • Place food and beverage orders on a weekly basis and refill the pantries as required
