Position Summary
The Membership and Database Specialist is responsible for the integrity of the data in the Tessitura database, specific to development functions and constituents. The Membership and Database Specialist handles updating and maintaining member and donor information, recording membership and donation activity, analyzing donor and prospective donor information, as well as collecting and distributing information for member cultivation and solicitation.
Reporting Relationship
The position reports to the Senior Manager of Membership and Development.
Essential Functions
  • Responsible for the completeness and accuracy of the donor database including but not limited to:
    • Manage daily processing of memberships and donations, including contributions made by check, cash, Electronic Funds Transfer (EFT) and/or credit card
    • Post contributions to the appropriate record in donor database
    • Prepare report of gifts and memberships received
    • Prepare and ensure timely and accurate acknowledgments of gifts received
    • Generate and oversee mailing of monthly membership renewal letters, as well as monthly reminders to those contributing via a family foundation or donor advised funds
    • Generate and distribute scheduled pledge reminders
    • Generate mailing lists for targeted development campaigns and marketing communications
    • Generate donor reports for Des Moines Art Center staff, members, and donors
    • Collaborate with accounting department to review financial records within the database to maintain data accuracy, prepare schedules for outside auditors as needed
    • Maintain contact information and donation data in donor database
  • Responsible for the membership "hotline", responding to member inquiries over the phone and by email
  • Analyze donor data to identify trends, donor behavior, and opportunities for fundraising growth
  • Prepare reports and dashboards to track fundraising progress and provide insights
  • Participation in Development events, activities and initiatives as needed
Other Responsibilities
  • Acts in ways that reflect favorably on the Art Center and maintains professional standards in the quality of performance and demonstration of concern for the Art Center's collection, programs, and facilities. Adheres to Des Moines Art Center Code of Ethics, Employee Handbook and other organizational policies.
  • This position offers a hybrid work schedule working both in the office and remotely.

  • Experience with donor database and accounting preferred
  • Excellent communication and collaboration skills

  • Strong research and analytical skills
  • Strong organizational skills and attention to detail
  • Able to multi-task and prioritize workload
  • Skilled at using Microsoft Office programs
  • Ability to focus on conflict resolution, without placing blame; brings matters to successful conclusion
  • Must be consistently at work and on time; ensuring work responsibilities are covered when absent and arriving to meetings and appointments on time.

  • Experience in non-profits, arts and cultural organization and/or museums preferred
Required Education, Experience and/or Certification
  • Bachelor's degree, or equivalent combination of education, training, and experience
