Salary: $41,000 to $45,000 annually

Hours: Full-time, 4-day work week, some holidays required.

Position Title: Operations Administrator - Hastings

Supervisor:

Direct - Morning Supervisor

Dotted- Assistant Director of Residential and Program Mentoring

The Operations Administrator is responsible for being the first point of contact at our Program Offices. The Operations Administrator will be responsible for many of the day-to-day administrative and reception needs for our Brighton location. The Operations Administrator will be a critical point of contact for all Brighton staff and participants, coordinating and assisting front-line staff with crisis management, conflict de-escalation, and participant support as needed.
The Operations Administrator will promptly and professionally serve as an information liaison for internal and external communications. The Administrator is responsible for managing sensitive and private information, requiring confidentiality and discretion.

Key Responsibilities:

  • Consistent Coverage of the Reception area
  • Maintain control of the Reception area monitoring access for visitors and participants, including enforcing sign-in and out protocols and resources
  • Upkeep emergency binders and evacuation processes
  • Ensure a positive and courteous customer service experience for participants, staff, & visitors
  • Respond to incoming calls, directing calls or messages promptly to the appropriate staff, and provide basic referral information for callers as needed
  • Monitor participants while in the reception area and via camera monitoring while on property
  • Monitor participant sign in and out the building
  • Monitor program operations as needed
  • Manage camera documentation
  • Manage other documentation as required
  • Maintain a consistent supply of forms and information packets as necessary for program operations
  • Contribute to participant engagement initiatives (such as: participants’ jobs, monthly participant calendar, monthly newsletter)
  • In case of emergency, facilitate evacuation of reception area, providing an accurate headcount of staff and visitors in conjunction with human resources and assist in resolution of crises due to evacuation
  • Disseminate information to participants via mail or in person as needed
  • Manage key controls for staff offices & storage rooms
  • Identify and report any facility or equipment maintenance issues
  • General administrative support for on-site and off-site staff including but not limited to mailings, data entry, photo-copying, typing, filing, and record-keeping
  • Manage daily participants list and revise overnight count and curfew logs· E-mail overnight review to the DGL distribution list.
  • Other duties as assigned.

Qualifications:

  • Microsoft Office Suite computer skills a must
  • Excellent customer service skills.
  • Experience and skills in crisis management, conflict resolution, or de-escalation
  • Good problem-solving skills in a fast-paced environment.
  • Ability to manage a sometimes stressful and hectic work environment
  • Demonstrate ability to work independently and problem solve
  • Ability to work in a team-oriented environment.
  • Ability to work effectively with families with diverse cultures and backgrounds.
  • Ability to follow verbal and written instructions independently.
  • Strong communication skills both verbal and written.
  • Ability to adjust quickly between multiple requests as needed
  • Bi-lingual skills in Haitian Creole, Spanish, or Cape Verdean Creole helpful, but not required.

Education

  • High school diploma or equivalent required
Working Conditions: Requires walking, sitting, some bending, stooping and stretching. Ability to lift up to 25 pounds. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Work is performed in a homeless shelter setting. Work may be stressful at times. Ability to follow verbal and written instructions. Ability to communicate effectively with staff and participants.
