Licensing & Sales Support Specialist

Position Summary :

The Licensing and Sales Support Coordinator ensures compliant licensing (policy & standards) and supports Sales through efficient contract management, accurate data practices, and independent resolution of moderately complex licensing issues.

Responsibilities:

  • Key lead on handling contract management for all customer types per APS policy. The individual will use manual and technical tools to review and revise contracts, additional amendments, and provisions to ensure licensing terms meet APS and industry standards.
  • Collaborate with Sales Support Manager and team on collecting standard single-site user licenses.
  • Handle customer inquiries as assigned including those related to online licensing, IP updates, usage statistics, librarian user account setup, turn-away reports, and trial access.
  • Ensure CRM data - including contact, order, and payment information - is clean, accurate, and up to date.
  • Collaborate with the Sales team on consortia management in different data systems, such as commission reconciliation, license updates, quote & order setup, and payment collection.
  • Collaborate with internal and external stakeholders to resolve OA workflow inquiries.
  • Standard administrative functions include documenting and scheduling meetings, filing, scanning, etc.

Contract Management:

  • Ensure all single-site user licenses are collected frequently (annually or bi-annually)
  • Draft complex license agreement for the Sales team.
  • Review and ensure license modification inquiries, amendments, and additional provisions meet APS requirements.
  • Track special licensing procurement process for consortia and government sales.

Customer Support:

  • Collaborate with internal and external stakeholders on OA workflow inquiries and special invoicing per OA license terms.
  • Support with consortia and government procurement.
  • Resolve moderate and complex inquiries as assigned for consortia sales; providing excellent customer service.
  • Collaborate with the internal team to ensure accurate invoicing, payment collection, and reconciliation.

Industry Knowledge & Reporting:

  • Stay informed on scholarly publishing trends (Open Access, agreements, licensing)
  • Analyze data & generate reports (subscriptions)

Administration:

  • Standard administrative tasks (meetings, filing, scanning)
  • Other duties as assigned
Education:
  • Associate or bachelor's degree preferred, or two years of equivalent work experience in licensing, sales, and customer service may be accepted.
Experience, Knowledge, Skills, and Abilities:
  • Minimum of 2 years of experience in contract management, sales, customer services, or a related role. Experience in customer service and sales preferred.
  • Experience at a publishing firm or association is preferred.
  • Advanced knowledge of scholarly publishing contracts, licensing, & negotiation.
  • Proficient knowledge of Open Access knowledge & publishing trends.
  • Advanced data analysis & software proficiency (CRM, Salesforce, MS Office Suite, Google Suite).
  • Excellent customer service & communication skills.
  • Exceptional ability to problem-solve, be detail-oriented, independent & collaborative.
  • Adaptable to quickly changing schedules.

Travel: This position requires up to 10% travel to attend events, and meetings, including travel to APS offices in Long Island, NY; Washington DC; and College Park, MD, as well as other off-site locations for periodic meetings and training sessions. Additional travel may be required as assigned by the supervisor.

Salary:

The salary range for this position takes into account various factors influencing compensation decisions, such as skill sets, experience, training, and other business and organizational requirements. The salary listed within the specified ranges considers relevant experience. Our compensation philosophy at APS aims to maintain salaries at the midpoint of the market. As a result, we typically hire within the target starting range. Exceptional, rare cases may merit reviews above target starting range for specialized or niche skills aligned with strategic operational goals.

Hiring Range: $54,808/year - $74,360/year (USD)

Target Starting Range: $54,808/year - $60,164/year (USD)

Incentive Compensation:

Full-time employees in this position may earn incentives based on various factors. Incentives for hires in 2024 are prorated daily from the hire date. Incentive agreements are effective for 2024 and may be modified or revoked at any time by APS. Incentives and commissions will be determined according to the definitions provided in the offer and will be awarded by specified dates.

Work Environment:

As noted above, APS offers a "Remote First" workplace. Although our offices are located on Long Island, NY; Washington DC; and College Park, MD, you can work from other places in the United States.
