JOB DESCRIPTION:
Construction Accounting Specialist
Reports to: Director of Accounting
Summary/Objectives
This position ensures all AP/job costs are posted and accurate. Creates billing and distributes to appropriate entity. Prepares weekly pay report for management.
Responsible for AP, JC, AR, GL, and JC coding of payroll weekly. Job contains both admin and accounting functions.
Essential Functions
Accounts Receivable Billing
Accounts Receivable Pre-Billing Reports
Collect & Submit Weekly Payroll Reports to payroll department Create & Archive Purchase Orders
Create Excel Job Cost vs Budget Comparison Reports as needed Create Excel Spreadsheets of Change Orders per Job
Emailing Invoices for Approval
Set up job cost and new jobs in Job Cost module Excel Spreadsheets as needed
Filing and scanning of invoices/check copies
Fill out Credit Reports
Friday Check List Report
Pays Subs/vendors/suppliers weekly Monthly Use Tax Reports
Notify Subcontractors when Compliance Documents Expire Post Deposits in Accounts Receivable
Posting Accounts Payable Invoices Print Job Cost Reports as needed Respond to emails as needed
Scan Certificates of Insurance & File in Binders Scanning Invoices to Archive & Email for Approval
TN Subcontractors Licenses & Business License Report
Tracking of Subcontractors Compliance Documents/Certificates of Insurance & WC Verify W-9's and File in Binders
Verifying Job Cost Codes
Sub spreadsheet for Workman's/GL Comp Audit
Competencies and Position Requirements
Excel, Word, Adobe Acrobat, Outlook, , 10-Key Excellent communication Skills
Proficiency in account reconciliation, general ledgers and journal entries Problem solving/Analysis
Ability to perform at high levels in a fast-paced ever-changing work environment Professional phone etiquette
Supervisor Responsibility
This position has no supervisory responsibilities
Work Environment
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, copier, fax, scanners, file cabinets and calculators. While performing this job, noise level is expected to be mild/moderate. Expect to hear phones, copy machines, doors in this office environment. This position works in a corporate office
Physical Demands
This is largely a sedentary role, requiring use of typical office equipment. Work is completed in a corporate office environment. Specific vison requirements include close vision. Employee is occasionally required to sit, climb, balance, kneel, or crawl. The employee may frequently need to lift to 10 lbs. Occasionally lift and move up to 25 lbs.
Position Type and Expected hours of work
This is a full-time position
Days and hours are Monday-Friday 8am-5pm. Some flexibility is hours allowed within the core office hours of 8am-5pm.
Overtime rare, advance authorization required
Travel
No travel is expected for this position.
Required Education and experience
High School Diploma; Associates degree a plus
Preferred Education and Experience
Bachelor's degree in accounting preferred. Two to five years construction accounting experience.
