The Job at a Glance

The Collections Operations Specialist will assist the Credit Union 1 Collections Department in a variety of roles and responsibilities regarding auto, real estate, credit cards and other secure and unsecured loans. They will represent the department by actively promoting CU1's vision statement by providing administrative services for success, exceeding the members' expectations with solutions and Be Great, Be Engaged, Be Open, Be Nice.

A Typical Day

  • Monthly Charge Off. Perform system updates and maintenance to ensure the accuracy of the charge-off process. Entering relevant data, updating loan statuses, and ensuring all necessary information is recorded correctly.
  • Follow established guidelines and procedures for the charge-off process, ensuring compliance with CU1 policies and regulatory requirements.
  • Complete the charge-off process within the designated timeframe to ensure timely reporting.
  • Work closely with the Collection Manager and Team Lead to review and finalize the list of loans to be charged off.
  • Partner with the Accounting Department to reconcile the financial records associated with charged-off loans. Verifying the accuracy of the charge-off amounts and ensuring that all financial entries are correctly recorded.
  • Identify and recommend improvements to the charge-off process to enhance efficiency, accuracy, and compliance. Stay updated on best practices and changes in regulations that may impact the charge-off process.
  • Department reporting, which includes the execution of all daily reporting including but not limited to daily queue volumes, department collection metrics (volume, calls, calls per hour, contacts, promises, promises kept, dollars collected, file penetration, etc.)
  • Repossession Notices. Auto repossession process includes but not limited to verification, maintenance, tracking and mailing notices.
  • Assist in the legal process on deceased and bankruptcy file maintenance and providing research assistance.
  • Temenos System Maintenance. Provide assistance as a subject matter expert on the continued maintenance of collection system upgrades and changes.
  • Compliance. Maintain Credit Union 1 collection records in compliance with audit & retention standards and used for board reports.
  • Upload account documents (contracts, insurance, returned mail, etc. into collection systems.
  • Loan Extensions. Process, track and update collection loan extensions, providing analysis and trending to Collection Manager for strategic purposes and for board reporting.
  • Provide administrative support to the Collections department staff, utilizing a servicing-based philosophy.
  • Responsible for reviewing daily voicemails and notifying appropriate personnel.
  • SWBC Payments. Review and approve payment errors with the appropriate steps needed.
  • Respond and review collection department emails assisting in the proper distribution and taking of next steps.
  • Ordering office supplies for all three collection sites (NV, IL & IN).
  • Maintain confidentiality with all account information.
  • Follow all company policies and applicable laws.
  • Build member satisfaction and loyalty through elite, best-in-class service.

What We Look For

  • High School diploma or equivalent
  • Experience in auto collections, banking, or customer service preferred but not required.
  • Microsoft Office Skills, able to use Excel, Word, PowerPoint, Teams and One Note.
  • Excellent verbal and written communication skills
  • Individuals with a positive attitude that are motivated to contribute to a team and company culture.
  • Detail oriented with a high degree of accuracy and quality.
  • Able to work Mon-Fri 8am - 5pm CST / 6am - 3pm PST
