Summary

A Construction Site Administrator facilitates essential operations across a construction site by supporting the Safety Manager, Superintendent, and Director of Field Operations. This role encompasses a range of tasks including enforcing safety protocols, tracking payroll hours, providing administrative personnel support, managing paperwork, and addressing site-specific needs. The position is crucial for integrating safety management, operational oversight, and administrative activities within the work site.

Shift: M – F; 7:00am – 3:30pm (approximately; some overtime may be required)

Employment Type: Temporary through summer 2024; direct hire; non-exempt

Essential Duties and Responsibilities

  1. Provide administrative support on an active construction site to the Safety Manager, site Superintendent, and Director of Field Operations.
  2. Under the guidance of the Safety Manager, monitor and ensure compliance with safety programs, conducting safety audits focused on access, scaffolds, fall protection, and personal protective equipment (PPE).
  3. Conduct safety training and enforce adherence to established safety protocols.
  4. Document and investigate workplace incidents in collaboration with the Safety Manager.
  5. Work with project managers to develop and implement corrective and preventative actions.
  6. Manage the on-site new hire process, including timely and accurate I-9 verification.
  7. Assist with new hire paperwork, ensuring completion, collecting necessary documents, and liaising with Human Resources for any follow-ups.
  8. Assist with time tracking and entry for the job site.
  9. Handle and maintain confidential employment, labor, workers’ compensation, and benefit documents and files.
  10. Track and report staff attendance, communicating any absences to relevant site staff, Human Resources, and Safety departments.
  11. Record meeting minutes as required.
  12. Utilize Microsoft Office to create various reports and documents, ensuring accuracy and timeliness, and perform numerical data compilation and summarization.
  13. Perform site-related errands, including obtaining supplies and making copies for site staff.
  14. Adhere to all company and job site safety policies, work rules, and regulations.
  15. Undertake other tasks as assigned or needed.

Knowledge and Skill

  • A combination of relevant education and/or work experience. Degree or experience in the Occupational Health and Safety or Human Resources field preferred.
  • Familiar with Occupational Health and Safety Administration (OSHA) regulations and construction safety standards.
  • Excellent communication and interpersonal abilities.
  • Strong attention to detail and organizational skills.
  • Proficient in Microsoft Office Suite.
  • Independent and collaborative working capability in a fast-paced construction setting.
  • Willingness to be present on active construction sites.
  • Preferred: Relevant safety or HR certification, like OSHA 30-Hour Construction Safety.
  • Analytical thinker with problem-solving skills.
  • Flexible, adaptable, able to multitask and shift priorities.

Work Environment

  • The employee will work out of a job trailer office setting on an active construction site with exposure to typical noises and smells associated with a construction environment.
  • Noise level typically moderate.
