Corovan is Hiring a Collections Supervisor Near Poway, CA

$32 - $34.50 / hour

Reporting to the Assistant Controller, the Credit and Collections Supervisor is responsible for the overall management of the credit department, which includes improving operations and Accounts Receivable (A/R). This position supervises 2-3 credit agents who are responsible for conducting credit investigations and collecting on delinquent accounts.

This position will also have the responsibility for developing and implementing strategies to improve employee engagement to foster a positive work environment. This position is also responsible for reporting and escalating any related issues about the job to the Assistant Controller.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Collections:

  • Assist in day to day collection operations to include auditing of collection accounts in compliance with policy and procedures and making at least 25 customer collection communications per day (phone or email) including a minimum of 7 phone calls.
  • Review collection reports to ascertain status of collection and balance outstanding and to evaluate effectiveness of current collection policy and procedures.
  • Audit delinquent accounts considered to be uncollectible; ensure maximum efforts have been taken and make recommendations to assign Do Not Service status.
  • Recommend credit limits on assigned customer accounts.
  • Review and make recommendations for write-offs of accounts as uncollectable.
  • Ensure that established procedures are followed.
  • Analyze assigned customer accounts and explain balances to customers and company management as considered necessary.
  • Ensure that all deposits and prepayments are collected as necessary for assigned accounts.
  • Make recommendations for when past due accounts should go to an outside collections company.
  • Lead aging meetings as assigned and ensure that all action items are followed up.
  • Supervise and motivate collections staff (2-3 collectors) to achieve company goals. Ensure that the collections department is responding timely and appropriately to calls and emails according to state goals and expectations.
  • Monitor the percentages of aged accounts.
  • Develop and maintain procedure manuals, and insure that procedures are followed.

Supervisory:

  • Lead 2-3 direct reports and assist with performance management of team and recommends necessary discipline and termination of employees in accordance with company policy.
  • Manage timekeeping system approvals to ensure payroll and timesheets are accurate and manage exceptions.
  • Ensure all direct reports take their meal and rest period breaks according to company policy.
  • Assists with ensuring all timesheets and other documentation are completed accurately, signed by employees and submitted by the time requirement.
  • Assists with monitoring the team for compliance on company and customer policies and procedures.
  • Must possess the ability to teach basic training, using PowerPoint when required by Manager.
  • Ensure established policies and procedures are adhered to in accordance to company procedures and guidelines.

Customer Relations:

  • As assigned, visit customer sites to review outstanding balances.
  • Attend and participate in meetings.
  • Maintain excellent customer service with the customers, transportation and operations teams to establish solid relationships.
  • Act as point contact person for all collection escalation issues and resolve them in a timely manner.
  • Must be courteous, helpful, and professional to all existing and potential customers, by interacting with customers in person and via telephone, fax and email to ensure complete customer satisfaction in all matters related to the operation.

Training:

  1. Participate and lead Six Sigma projects, as required to improve processes and efficiencies.
  2. Identify the training needs of team and may provide or recommend training.
  3. Promote Corovan’s Mission and Vision Statements.
  4. Continuously promotes compliance with company policies and procedures.

Employee Engagement:

  1. Ensure interactions with staff, other departments and customers are professional at all times to promote company’s values and expectations.
  2. Assist with aligning the culture of the department with the overall company strategy and structure.

Safety:

  1. Ensure the highest standards of safety, productivity and customer service are exceeding daily.

Other Duties:

  1. Other duties to meet business needs and requirements as assigned.

    3. The successful candidate must have excellent data entry skills.
    4. Proficiency in other Microsoft Office applications, including MS Excel.
    5. Knowledge of Generally Accepted Accounting Principles and internal controls.
    6. Excellent analytical ability.
    7. Must be detail oriented.
    8. Familiarity with six-sigma or other quality improvement processes.
    9. Ability to handle and safeguard sensitive and confidential information.

EDUCATION and/or EXPERIENCE:

Required:

  • BA/BS degree in Accounting or Finance is required; or a combination of education and equivalent experience may be substituted for Bachelor’s degree.
  • Minimum 2-5 years’ experience in an accounting environment.
  • Three years’ experience in a recent credit/collection’s supervisory role.
  • Proficient knowledge of Microsoft Office suite, including MS Excel.
  • Valid California driver’s license and driving record that meets the company’s insurance carrier requirements.

Preferred:

  • Familiarity with Great Plains software.
  • Experience with process improvement teams.
  • Service industry business to business experience highly desirable.

In office- Poway, CA.

WORK ENVIRONMENT:

POSITION TYPE/EXPECTED HOURS OF WORK:

TRAVEL:

Up to 20% travel to various worksite is required, as the employee in this role will travel to different sites as business needs, including potentially traveling to customer sites and other Corovan sites throughout California. A valid driver’s license is required for this position, and reliable transportation.
