Scion Staffing is Hiring a Vice President of Executive Operations Near Redmond, OR

Scion Staffing has been engaged to conduct an immediate search for an experienced Executive Vice President for our fantastic client, a healthcare company providing compassionate care aging and disabled adults. This position partners with the Owners and Executive Team to promote continuity of process, policy, and procedure to improve the Client and Caregiver experience. The ideal candidate will serve as both a motivational and goal-driven entrepreneurial leader.

Reporting to the Chief Strategy Officer and Chief Executive Officer, the Executive Vice President leads a team of 8 managers and works closely with the CEO, CSO, and Director of Finance and Vice President of Operations. The goal of Executive VP role will be to take over management responsibilities from the owners and requires a high-level leader that provides accountability for multiple departmental leaders across all aspects of operations to increase profit and accomplish company initiatives. This role also has ample growth opportunities to become a President or Chief of Staff within the company! This full-time, onsite opportunity is located inRedmond, Oregon.

POSITION RESPONSIBILITIES:

ORGANIZATIONAL GROWTH BUSINESS DEVELOPMENT

  • Ensure profitability company-wide, and in future locations, with a focus on private pay market expansion.
  • Keep individual offices accountable for quarterly growth goals. Provide highly organized implementation and follow-through for all key goals.
  • Collaborate with the Executive Team and other key department heads in the development of performance goals and long-term operational plans.
  • Analyze KPIs, including Client Acquisition/Loss, Revenue, CG Acquisition/Loss, Surveys, etc.
  • Design in-person marketing and networking efforts and strategies to develop a private pay pipeline.
  • Oversee operations budget, identifying areas to increase revenue and cut costs.
  • Monitor, analyze, and report on the Operation’s overall fiscal health and success.
  • Conduct research and relay findings, supporting expansion and growth efforts.
  • Leverage software platforms and technical support, enabling the Company to operate in an efficient digitized state with real-time data, and facilitate implementation of new systems.
  • Initiate activities to maximize organizational effectiveness within operations - including goal tracking, involvement in long-range business development, expense management, and other initiatives.
  • Work closely with the Company’s leaders to set goals and analyze needs to set and achieve the success metrics.
  • Ensure operations teams are meeting key deliverables and project execution timelines.
  • Set strategic goals for operational efficiency and increased qualitative and quantitative growth.
  • Review and report on financial indicators and implement action when warranted.
  • Maximize efficiency and productivity through extensive process analysis, innovation, and reporting.
  • Assist in developing strategies and implementation plans to improve and standardize all aspects of operations.
  • Embrace a philosophy of continuous quality improvement and suggest ideas for improvements as appropriate.
  • Monitor progress toward in-home care Client satisfaction goals, and recommend and implement corrective actions.
  • Advise and participate in continual improvement of healthcare management platform upgrade/implementation.
  • Review all operational processes for compliance and efficiency.
  • Make recommendations to enhance the Client and Caregiver experience.
  • Assist in developing strategies and implementation plans to improve and standardize all aspects of operations.
  • Assist in developing robust, compliant, and effective operational processes throughout the Company.

GOAL EXECUTION STAFF LEADERSHIP/ACCOUNTABILITY/OVERSIGHT/DEVELOPMENT

Staff Leadership, Oversight, and Development

  • Provide key insight and advice on all administrative hires throughout the Company.
  • Closely monitor and respond to personnel issues, with regular reports relayed to the Executive Team.
  • Facilitate strong inter-departmental communication and engagement.
  • Assist with Interviews for high-level hires, as well as 90-day and Annual Performance Reviews for direct reports.
  • Support the professional growth, ongoing training, talent management, and development of staff.
  • Ensure offices have the right people in the right roles to meet the needs of the Company.
  • Guarantee staff maintain high levels of quality work and have the training in place to meet the needs of the Company.
  • Travel regularly for relationship management to foster trust-building between local office leaders and the Company, as well as community partners/referral sources.
  • Positively influence internal corporate culture and employee engagement, communicating policies, incidents, announcements, and engagement opportunities.
  • Oversee absences, health matters, conduct, communication, conflict, grievances, organizational change, separation, and internal investigations.
  • Communicate project progress and any issues that arise to leadership.
  • Work to train local offices on providing outstanding case management and utilizing all hours authorized.
  • Make recommendations to enhance the Client and Caregiver experience.
  • Stand-in as interim leader for any vacant positions as needed.
  • Promote team building and collaboration through coaching, accountability, and motivation.
  • Lead weekly individual Executive Director meetings, coaching and mentoring each leader.
  • Field and troubleshoot administrative and operational questions from Executive Directors.
  • Train EDs on new policies and processes, advising on implementation and roll-out, including for new launches.
  • Guide, support, supervise, and equip administrative staff in their goals and workflow.
  • Travel frequently to provide support/guidance, accountability, and professional development to staff. Ensure positive client and employee relations by responding promptly and appropriately to their needs, requests, concerns, and suggestions.
  • Provide oversight and supervision of the Nursing Program (Regional Administrative Nurses).
  • Make recommendations to enhance the Client and Caregiver experience.
  • Empower Executive Directors to achieve professional, organizational and team goals, recognizing accomplishments.
  • Design and development of standardized initial orientation and ongoing training programs for Caregiving and Administrative Staff.
  • Sales – including customer service, relationship building and management, sales pipeline development, closing, senior living, and referral sources – inc. home health, hospice, healthcare providers, and hospitals.
  • Process – including care plan development, industry regulations, compliant files and documentation, nursing program management, initial evaluations, ongoing evaluations, scheduling utilization, and care management platform utilization.

OVERSIGHT OF COMPLIANT PROCESSES PROCEDURAL CONTINUITY

  • Calendar and attend OHA and OHCA conferences on behalf of the Company, providing insights, making recommendations, and communicating potential gaps or risks or improvement areas to the Executive Team and Owners.
  • Ensure in-home care services operate efficiently and effectively, maximizing profitability and growth while remaining current and following Health Authority Administrative Rules, and Federal, and State laws – sharing regular updates with the team to ensure compliance.
  • Maintain compliance with Payer contract/engagement requirements (MMIS, EP, VA, DHS, NWDS).
  • Maintain organizational and regulatory compliance with (e.g., OSHA, ADA, FMLA, HIPAA) including through third-party vendors (e.g., brokers, insurers, etc...).

Corporate External Relations

  • Relay gaps, risks, and inefficient policies/procedures/operations, along with solutions.
  • Act as a trusted advisor who assists with executive leadership projects, meetings, initiatives, and events.
  • Collaborate closely with the CEO/CSO and senior management to ensure that all initiatives are aligned with the strategic direction and goals of the Organization.
  • Provide regular weekly information deliverables to the Executive Team of old, current, and new business, including:
  • Provide the status of projects and upcoming priorities.
  • Analyze weekly time block audits for staff.
  • Synopsis of individual office operations updates, strengths and weaknesses, and solutions.
  • Identify risks and gaps and create action plans - providing thought leadership and risk management intel.
  • Identify areas for improvement and solutions.
  • Provide updates on current/new employees and create contingency and succession plans.
  • Provide expense analysis and cost/benefit analysis of contracts and vendors - including utilization.

COMPENSATION AND BENEFITS:

In addition to offering a competitive base salary (DOE) of $175,000 to $225,000, this incredible role provides a comprehensive benefits package that include a high, age-banded Company contributions toward employee health insurance premiums to allow for a fully covered and customized health insurance plan of your choice; 100% fully covered dental and vision insurance; 401(k) matching; 14 days of vacation; 7 days of sick leave; a floating “personal celebration day”; a “wellness week” consisting of a pre-calendared week off annually; need-based staff scholarships; plus $12,000 in annual performance-based bonuses!
