About the role:

Join our team as an Onboarding Specialist and be a pivotal part of creating exceptional experiences for our new hires. From pre-employment through onboarding, you'll ensure new hires experience a seamless transition into our organization. Your role involves coordinating interviews, guiding new hires through paperwork, playing a central role on their first day and providing overall support on their first day and beyond.

We're looking for an HR professional with excellent communication and planning skills to champion a positive candidate journey and ensure that every new hire feels welcomed and supported. Experience in managing pre-employment and onboarding tasks, conducting new hire orientations, and delivering outstanding support is key.

Reporting to the Director of Talent Acquisition, the Onboarding Specialist role requires in-office presence five days a week at our office in Somerset, NJ.

Responsibilities:

  • Conduct pre-boarding activities for new hires, including scheduling, and coordinating orientation sessions.
  • Facilitate the onboarding process by assisting new employees with paperwork completion, HRIS data entry, and ensuring compliance with company policies and procedures.
  • Act as the primary point of contact for new hires, offering guidance and support.
  • Conduct 30-day check-ins with new employees to gather feedback, address any concerns, and ensure a positive onboarding experience.
  • Create and maintain I-9 records, maintain notification reminders of expiration of work authorization and procure updated Form I-9 documentation where required.
  • Coordinate and review background checks for new hires, managing any flags and escalating when necessary.
  • Serve as the main point of contact for new hires during the onboarding process, addressing any questions or concerns, and ensuring a welcoming environment.
  • Collaborate with hiring managers, HR team members, and other stakeholders to ensure a smooth transition for new employees.
  • Provides information needed during quarterly/yearly compliance audits.
  • Ensure a best-in-class candidate experience by working directly with candidates, recruiters and hiring managers to schedule interviews, greet and host candidates while on-site, and address any issues that arise.
  • Communicate professionally and promptly with candidates to provide necessary information and updates.
  • Assist in creating offer letters for new hires, promotions, and internal transfers at all levels of the organization.
  • Identify opportunities to streamline processes and improve the efficiency of the pre-employment and onboarding experience.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred.
  • Previous experience in a similar role, with a strong understanding of pre-employment and onboarding processes and best practices.
  • Proficiency in HRIS systems and other relevant software applications.
  • Excellent interpersonal and communication skills, with the ability to engage effectively with individuals at all levels of the organization.
  • Strong attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously.
  • A proactive and customer-focused approach to problem-solving and decision-making.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
