POSITION SUMMARY
Assistant Director is responsible for overseeing the day-to-day functions of the CCA Office of Financial Aid Advising area, leading the financial aid advising team in providing exceptional customer service to prospective, continuing and returning students and compiling federal and state regulations. Also this position's responsibility includes making sure dissemination of accurate and timely information and financial aid related services to students, parents, faculty and staff. Furthermore, Assistant Director's role is to provide services to financial aid applicants including financial aid advising, reviewing and verification of files for accuracy needed for packaging and awarding various forms of financial assistance.
DUTIES AND RESPONSIBILITIES:
  • Supervising professional staff.
  • Manages the daily operations of the financial aid advising office, which includes full-time staff, administrator, hourly, and workstudy students.
  • Providing service and support to college staff by assisting them to identify automation needs utilizing Ellucian Banner and other computer programs.
  • Coordinates and maintains the financial aid advising reporting, programming, coverage and processing schedules.
  • Inform students of the disposition of their requests for financial aid, document all aid assigned and directive for conducting this process.
  • Interview and counsel students regarding their financial needs and situations.
  • Serve as an informed resource to the CCA staff regarding financial aid policies and procedures and ensures the most effective and efficient delivery of services to all constituents.
  • Assist Director on tests and trouble-shoots existing, updated and new computer programs and functions.
  • Oversee financial aid rush workshops and other workshops to provide financial aid information and training to the CCA staff and local high school students.
  • Responsible for the quality control of documentation imaging process in the Banner system.
  • Assists with the preparation of federal, state and institutional fiscal and statistical reports.
  • Assist monitoring and managing the funds management and reconciliation processes for work study funds
  • Provides training for college staff of all updated and new automated processes.
  • Provide packaging, work study program, loans, scholarship, and default management trainings to financial aid advising staff.
  • Provide basic financial aid training to the pathway advisors.
  • Functions as the primary liaison between financial aid and student services departments, instruction and Information Technology staff.
  • Serve as the Student Services Directors committee and develops, recommends, implements and monitors FA Advising operating policies and procedures.
  • Monitor, plan and implementing qualify insurance of financial aid advising program.
  • Directly advises students via individual appointments and group meetings to assist them in understanding financial aid requirements, navigating financial aid policies and procedures, developing long and short term goals, and resolving issues that affect maintaining financial aid eligibilities.
  • Served as CARE Team member.
  • Collaborates with other offices on campus, as well as faculty members and department Chairs, to resolve students' issues.
  • Determine eligibility and authorize awards from federal, state, institutional and private programs in compliance with all rules, regulations and guidelines. Utilize existing funds to maximize number of students receiving assistance.
  • Reviews student financial aid application information for accuracy; reviews and verifies student financial aid records for completeness and compliance to regulations, rules and guidelines; determines if additional documentation is necessary and notifies applicants of their status; applies guidelines in preparing student records for awarding and/or modification of awards.
  • Provide information, advice and counsel individuals and groups, including prospective and current students, parents, faculty, staff, and other professionals in the financial aid community about available programs, application procedures, eligibility requirements and students' rights and responsibilities.
  • Revise awards as individual circumstances change.
  • Assist in other areas of the financial aid office as assigned.
Related Duties and Responsibilities
  • Attend and conduct appropriate staff meetings, workshops, seminars and conferences as needed or as required.
  • Perform other duties delegated or assigned by the Financial Aid Executive Director.
  • Serve on appropriate committees as required and/or assigned.
MINIMUM QUALIFICATIONS:
  • Bachelor's degree
  • At least three (3) years' experience in a financial aid office and/or in higher education.
  • Supervision Experience
  • Effective oral and written communication skills
PREFERRED QUALIFICATIONS:
  • Master's degree
  • Working knowledge or familiarity with Banner
  • Working knowledge of financial aid packaging, scholarship processing, curriculum building, and work-study program
  • Demonstrated ability in multitasking and time management
  • Ability to work collaboratively as part of a team.
  • Commitment to customer service, higher education and working with students.
SUPPLEMENTAL INFORMATION
Salary Range: Anticipated starting salary range is $64,980 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent , including generous leave, holiday, and education benefits. Full time employees immediately upon hire earn 15 hours a month annual leave and 10 hours a month sick leave.
