Position Description and Summary
Cleary University invites candidates to apply for the position of University Registrar. The academic team at Cleary seeks a dynamic and academically-focused Registrar, possessing a successful record of creating and managing strong, vibrant, student-oriented, and compliance-orientated processes and reporting structures that serve the University's student, faculty, and staff stakeholders with exceptional quality and empathy.
Fulfilling Cleary's Mission (to "provide an intimate and inclusive, student-centered business education that instills the values of The Cleary Mindâ„¢ in our community"), the Registrar works closely with key academic and university leaders to support the success of Cleary's faculty and students, with student groups spanning traditional campus-based students, student athletes, and returning adult students across a variety of instructional modalities.
The Registrar is a senior member of the academic team and will partner with all stakeholders to maintain the integrity of all academic records, policies, and processes to uphold the University's academic standards while providing strong leadership, management, and oversight within the Academic Records office. The Registrar will be both detail- and process-oriented and will possess the skills necessary to manage and analyze a range of quantitative and qualitative information. This position will require a unique combination of analytic ability, systems thinking, and interpersonal skills.
This full-time position will be based at Cleary University's Livingston Campus in Howell, MI, and reports to the Provost (or their designee). The position supervises a team of full-time employees and student workers in the Academic Records office.

Responsibilities - Academic Records and Reporting
  • Oversee University academic records processes and insure the integrity of the student information system data across multiple campuses which includes:
    • Data entry and maintenance of the academic calendar, courses, class schedule, classroom scheduling, student registration (e.g., registration, drop/add, withdrawal, status records, student major change forms)
    • Data entry and maintenance of student credits for courses taken at Cleary University as well as transfer credits and prior learning credits.
    • Maintain student records and work as part of the team on internal and external reporting of student records and files as required (e.g., NSLC, IPEDS, VA-Once, enrollment and degree verification, school deferments, etc.).
    • Generate and analyze data reports related to enrollment, retention, graduation rates, and other academic metrics.
    • End-of-semester and end-of-session duties include monitoring the final course grade submission process (eg., grades, grade changes, incompletes, etc.), providing Dean's List, and collaborating on the academic probation process.
    • Provide University transcripts, enrollment/academic verifications, and degree verifications in compliance with institutional policies and legal requirements.
    • Ensure compliance with data privacy regulations while handling student information.
  • Serve as the PDSO with I-20 issuance, ensuring students maintain F-1 status, comply with record keeping and reporting based on SEVIS requirements, and student SEVIS registration.
    • Provide back-up to the International DSO.
  • Oversee the Veteran Certification process for tuition reimbursement to the University.
    • Provide back-up to certify enrollment for the Department of Veterans Affairs for students claiming GI Bill benefits.
    • Serve as an advocate for VA/military related questions (i.e., from Admissions, Financial Aid, Faculty, Academic Advising) to resolve issues.
  • Collaborate with the Provost and Deans in planning, evaluation, and improvement including academic documentation (e.g., articulation agreements, transfer guides, catalog, curriculum sheets, etc.) and evaluation of transfer credit.
  • Work closely with Admissions to collect documents for incoming students and review transcripts and prior learning assessments for University equivalencies.
  • Complete degree audits to assess students' progress toward meeting program completion requirements, assist with degree planning, and generate diplomas, certificates, and related mailings.
  • Provide requested student enrollment information to internal and external partners.
  • Prepare list of eligible graduates for the University commencement ceremony and manage student records associated with graduation and commencement.
  • Coordinate initial and continuing student athletic eligibility certification in partnership with athletic leaders.
    • Complete and submit reports, ensure compliance, and implement regulations put forth by the National Association of Intercollegiate Athletics (NAIA) and the Wolverine-Hoosier Athletic Conference (WHAC).
    • Track and certify all transfer student-athletes from recruitment through enrollment.
Responsibilities - Collaboration, Coordination, and Security
  • Collaborate with University departments and personnel to coordinate academic events (i.e., registration periods and commencement ceremonies).
  • Provide guidance to students, faculty, and staff on matters related to academic policies, graduation requirements, and degree progress.
      • Communicate important information to students, faculty, and staff through various channels (i.e., e-mail, website, online portals, etc.).
  • Provide institutional guidance and leadership on matters involving FERPA compliance and protection of student records.
  • Oversee the implementation and maintenance of the student information system and related technologies.
    • Collaborate with IT personnel to ensure the functionality and security of the University's academic databases and data records.
  • Document existing and revised processes and improve overall process effectiveness.
  • Serve on committees relevant to the needs of Cleary Academics and the broader University community.
  • Perform other duties as assigned.
Qualifications
Qualifications
  • Bachelor's degree is required, with priority given to candidates with a Master's degree.
  • Three to five years of experience as a Registrar or Assistant/Associate Registrar in an academic setting.
  • Experience evaluating transfer credits and prior learning credits.
  • Working knowledge of and experience with FERPA compliance, including offering periodic staff training.
  • Working knowledge of processes and reporting associated with SEVIS, NAIA or other collegiate athletic eligibility, VA benefits, and Michigan (or other state) transfer agreements.
  • Experience supporting IPEDS and enrollment-related reports, Michigan (or other state) required reports, NC-SARA reports, and other regulatory and accreditation-based reports.

  • Experience with Microsoft Office, Google Docs, and other software programs for communicating, creating, and maintaining spreadsheets, reports, and presentations.
