Blackstone Talent is Hiring a Full Charge Bookkeeper & Personal Assistant Near Houston, TX

Our client a high end medical practice in the Houston Texas inner loop is looking for a Full Charge Bookkeeper & Personal Assistant to support the President. The successful candidate will be able to handle administrative / personal assistant duties as well as all the accounting for multiple sets of books. The candidate needs to wear many hats in this role and have the ability to move from one project to another at a moment's notice. The ideal candidate will have strong analytical and accounting skills and the ability to work collaboratively with the President and team to support all aspects of the company's financial operations.

Responsibilities

  • Manage and maintain all financial records and accounting activities
  • Analyze financial data and create reports for investors and members
  • Assist in the development of budgets
  • Record and process recurring financial transactions, including invoices, payments, and medical expenses with high accuracy.
  • Prepare reports to support external CPA with the preparation of multi state tax fillings
  • Assist with administrative tasks relating to the companies and presidents disbursed entities and assets
  • Administrative duties such as calendar management & scheduling, updating contacts, maintain filing system for household needs (e.g., car registrations, maintenance contracts, warranties, contractor bids, etc.), circle back with principals
  • Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their manager's attention
  • Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
  • Manage payroll processing for staff, helping to ensure compliance and accuracy
  • Maintain and update QuickBooks and other financial software, including accounts payable and accounts receivable, general ledger postings, bank reconciliations and other banking tasks
  • Communicate with clients and vendors effectively and efficiently
  • Manage vendors/contractors - maintain a vendor list, build relationships, oversee projects/repairs

Qualifications

  • Bachelors or Higher Degree in Accounting, Finance or equivalent experience.
  • 4 years of experience in bookkeeping, accounting or a similar field.
  • Discretion and ability to handle confidential information
  • Strong proficiency in QuickBooks Online (also used for processing payroll).
  • Strong proficiency with Spreadsheet Data Analysis (Excel)
  • Capacity to manage time efficiently, meet deadlines, and complete work in a timely way.
  • Ability to respond well to constructive feedback (i.e., without taking it personally)
  • Desire to obtain a long-term position
  • Strong attention to detail and ability to keep meticulous, well-organized records.
  • Reliability, patience, and perseverance in performing detailed administrative tasks.
  • Ability to research and troubleshoot problems with minimal supervision.
  • Ability to wear many hats in a dynamic environment.
  • Ability to communicate promptly, clearly, and consistently with co-workers in various media platforms (by phone, text, group chat, and e-email).
  • Ability to engage pleasantly and professionally with co-workers, clinicians, vendors, etc., in a way that minimizes interpersonal conflicts or "over-sharing" of personal information.

Compensation for this position can reach up to $98k bonus for the ideal individual.
