DESCRIPTION:

This is high level, professional administrative work involved in supporting the City's Service Department. Position requires performing a variety of administrative tasks in an organized, timely, and accurate fashion.

EXAMPLES OF DUTIES:

  • Coordinates various delegated administrative responsibilities.
  • Communicates frequently with the public, at times under stressful and difficult situations
  • Prepares correspondence and contacts vendors relative to purchasing problems, errors, deliveries, and returns.
  • Maintains the inventory records for all materials and supplies, fixed assets, real property, and rolling stock for the department or division.
  • Assists in the preparation of routine segments of an annual budget.
  • Coordinates and maintains a records retention schedule for the department or division.
  • Prepares inter/intradepartmental invoices for items purchased from the department
  • May assist the supervisor in the planning, directing, and management of special projects
  • Maintains records of vehicular repairs and fuel consumption and prepares quarterly and annual cost analyses
  • Performs all other related work as assigned

QUALIFICATIONS:

  • Graduation from high school or GED
  • Associate’s degree in office administration, business management or related field and five years professional experience is preferred
  • Must possess a valid Ohio driver's license
  • Proficiency with Microsoft Office (Word, Excel, Access, and PowerPoint)
  • Knowledge of modern office practices and procedures
  • Ability to communicate effectively, both orally and in writing, and to follow oral and written instructions.
  • Considerable knowledge of the principles and practices of recordkeeping and accounting.
  • Knowledge of the principles, practices, and forms used in inventory control and purchasing.
  • Ability to establish and maintain effective working relationships with management, co-workers and the general public.
