Under the direction of the Recreation Manager, this position oversees the operations of Guest Services for the Golden Community Center, including Fitness programs. Work schedule may require a minimum of one weekend day each week, as well as early morning and late evening shifts.
Supervises Community Center front desk and fitness administrative operations.
 
Coordinates training, oversight and scheduling of staff including facility and fitness coordinators, instructors, customer service representatives, Clear Creek ambassador program, and volunteers in customer service procedures and software programs. Provides customer service backup as needed for shift coverage.
 
Supervises, trains, and evaluates all front line full-time and part-time guest services personnel. Supports the training and development of all Division guest service skills by establishing service standards and facilitating training and implementation practices.
 
Resolves customer concerns and feedback pertaining to registration, facility, reservations, and child watch programs.
 
Daily accounting, posting and reconciliation of operations in compliance with Finance policies and procedures.
 
Serves as primary administrator for operating software. Remains current with upgrades, and application of new software features; implements as applicable to Golden parks and recreation operations. Coordinates program registrations and interface with RecTrac & WebTrac; manages on-line and in-person registration, membership and point of sale processes.
 
Trains and supports all RecTrac and Webtrac users.
 
Maintains and administers General program registrations, cancellations, payments, and transfers.
 
Works closely with Data Management Coordinator in all capacities, including assisting with troubleshooting for detailed accounting transactions and Rec-Trac software discrepancies.
 
Assists with the Community Center operations and other facilities operated by the Parks and Recreation Division when necessary.
 
Plans and prepares appropriate budgets for front desk and fitness operations for recommendation. Responsible for budget oversight and efficient operation and use of resources.
 
Updates all procedures and processes as necessary, including but not limited to software documentation and procedures as necessary.
 
Attends Denver Metro RecTrac Users monthly meetings as required to stay current with trends and program changes.
 
Initiates and participates in additional training to ensure personal growth and development, including maintaining expertise in operating software.
 
Assists staff with special projects and promotions as requested. This may include data collection and report preparation, purchasing, assistance with policies and procedures, and various research projects and other administrative tasks.
 
Implements and coordinates a comprehensive fitness operation including supervising and supporting the Fitness Coordinator, helping develop a wide variety of fitness options for the varying demographics that use the Golden Community Center, and ensuring the weight room and classrooms are operating properly.
 
Monitors and evaluates member services and initiates changes to creatively address the needs and wishes of the public. Coordinates and corresponds with outside agencies and resources for proper programming and/or referrals as it relates to assigned program area.
 
Prepares advertising and promotional functions as required; prepares promotional material for programs including department’s activity brochure, digital e-newsletter, internal facility digital message displays, and City newsletter.
 
Prepares, develops, and tracks program expenditures and revenue budgets. Develops new funding sources to purchase the necessary equipment and supplies for programs. Prepares and maintains annual budget for assigned program area.
 
Responsible for coordinating rentals including GCC rooms, pavilion, parks, and alcohol permits.
 
Oversees and provides guidance to the team of FT and PT employees to support GCC guest service operations; provides training and support to Parks and Recreation Division guest services employees in other locations including but not limited to Splash Waterpark.
 
Supervises the assignments of rooms and general usage.
 
Participates in the marketing efforts of the Community Center to increase exposure, supports city s communications, and increases membership and participation in Community Center and recreation programs and activities.
 
Makes recommendations and implements actions in assuring that the budget expectations are met.
 
Assist with quarterly recreation brochure development as requested.
 
Other duties may be assigned.
SUPERVISORY RESPONSIBILITIES
Directly supervises 10-15 part-time customer service representatives, 2-5 facility coordinators, full-time Guest Services Fitness Coordinator, Recreation Coordinator – Data Management, Seasonal coordinator and PT staff including Creek Ambassador program, and various program volunteers. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Bachelor’s Degree in business administration, marketing, management, recreation, or related field with minimum 3 years related work experience and two years increased supervisory experience. Must possess excellent computer skills including MS Office. Knowledge of RecTrac recreation software desired.
 
CERTIFICATES, LICENSES, REGISTRATIONS
Valid driver’s license with a good driving record.
Current First Aid and CPR certification or ability to obtain within 30 days of hire.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to prepare and interpret annual budget information.
 
REASONING ABILITY
Ability to demonstrate effective problem-solving skills; to enforce safety practices and procedures to handle emergency and non-emergency situations; and to follow written and verbal instructions. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

OTHER SKILLS AND ABILITIESProficient knowledge of the principles, practices, and methods of program planning, development, implementation, and coordination of programs. Ability to plan, assign, instruct, supervise, effectively schedule, and direct the work of subordinate personnel engaged in carrying out the functions of assigned section. Strong organizational skills with proven ability to multi-task. Working knowledge of MS Word, Excel, and Outlook; Internet use and Intranet use. Ability to prepare, understand and manage budgets.

Must be detail oriented, organized, and familiar with office system protocols. Excellent customer service skills and the ability to resolve conflict in a diplomatic way. Ability to be flexible and creative by looking at alternatives to solve problems. Must be self-directed and be able to work independently with little supervision. Ability to prioritize and work well under pressure and time constraints.
