General Summary:

Under limited supervision of the Administrative Director of Medical Education, with direction from the Program Director, the Residency Program Coordinator manages the day to day activities of the residency programs to ensure proper planning, preparation, and execution of activities related to maintaining program accreditation, residency recruitment, and resident education.

Requirements:

  • Bachelor’s Degree required.
  • Minimum of three years related experience (health care field preferred).
  • Knowledge of Microsoft Word, Microsoft, Excel, Access and New Innovations database.
  • Experience and or knowledge in Medical Education, and medical education financing desired.
  • Verbal and written communication, analytical, interpersonal, and organizational skills required.
  • Excellent Computer skills.
  • Ability to record meeting minutes.
  • Ability to coordinate educational distance technology

Essential Functions and Responsibilities:

  1. Serves as an acknowledged and trusted program resource for residents, fellows, faculty, the program director, medical student and/or support staff. Tracks the progress of residents/fellows to ensure they are meeting professional and/or rotational competency requirements. Provides information, support, and problem-solving to residents, fellows, medical students, and faculty on a wide range of training and program issues.
  2. Manages trainee rotation schedules, credentials and academic files including licenses and certifications in conjunction with the program director, as needed, to meet the educational requirements of the program. Oversees process of annual contracts. Work with various consortiums, medical schools and participates in program planning as needed for resident and student rotations; ensures affiliation agreements, program letters of agreement are in place.
  3. Aids in the development of program materials, program marketing materials, forms, reports, etc. Formats data, creates reports and summarizes results. Arranges meetings and prepares and distributes meeting summaries. Manages program budget expenses and provides information as necessary for GME budget planning.
  4. Coordinates the recruitment and candidate selection process of eligible resident/fellow/medical students for the program. In conjunction with the program director, coordinates application management in ERAS. Prepares recruitment materials and schedules interviews for applicants.
  5. Coordinates, plans agenda, and records minutes of the Clinical Competency Committee, the Program Evaluation Committee, and GME subcommittees as assigned. Assist in resident counseling meetings regarding educational planning, remediation, and disciplinary action. In conjunction with the Program Director, develop the Annual Program Evaluation and action plan. Coordinate annual faculty evaluation and program surveys.
  6. Plans or assists in special events (i.e Graduation, Research Day, Welcoming Events, Housestaff Appreciation, etc). Coordinate all aspects of the event in a timely and professional manner including evening and weekend events, if needed. Ensure that the events are within the defined budget and follow-up with invoicing.
  7. Ensure compliance and maintain updated knowledge about ACGME/AOA program requirements. Manage annual accreditation updates and keep all program data current in ACGME ADS. Manage preparation and all activities for accreditation site visits.
  8. Oversees visiting learners and out rotations. Ensures affiliation agreements are in place and all credentials are updated and on file.
  9. Oversees the academic aspects of the programs, including appropriate testing materials and proctoring all exams. Monitor lectures and attendance to meet program requirements, ensure registration for required educational programs and arrange distance technology.
  10. Maintains detailed residency records to ensure appropriate financial reporting for IRIS reporting.
  11. Coordinates the educational planning, outcomes measurement, and accreditation standards of Continuing Medical Educational (CME) activities, in conjunction with the CME Committee. Monitors the registration, evaluation, and program reporting requirements of CME programs.
