Overview:

The Maintenance Supervisor is responsible for the daily supervision of Maintenance staff. He or she is responsible for department organization, performing maintenance checks, supervising the inspection of all mechanical sections of the building and reporting to building management on all areas. The Maintenance Supervisor is also responsible for the seamless running of all the buildings mechanics, HVAC, elevators, pools, cleanliness, organization of these areas and maintaining a team of energized and motivated professionals.

The Maintenance Supervisor also provides exemplary service in a manner consistent with the values and mission of the Castle Group. He or she performs all responsibilities while demonstrating outstanding customer service skills representative of Castle Royal Service as it relates to this function. This includes working interdepartmentally, as well as, with our external customers.

5 years of maintenance experience required.

Responsibilities:

SKILLS AND REQUIREMENTS
Experience and familiarity with the maintenance requirements of condo-like buildings and grounds.
Ability to work in a team environment and effectively communicate with management, staff and Owners in a constructive manner.
Ability to coordinate maintenance and repair work of property buildings, facilities, infrastructure and grounds, including oversight of contractor projects and services.
Ability to manage day-to-day tasking of (currently) three full-time and one part-time maintenance workers, setting priorities, directing their daily duties, evaluating results and ensuring timely completion of work of assignments.
Ability to troubleshoot maintenance problems.
Ability to maintain a clean and professional look and conduct duties in a professional manner. The Supervisor should set the example for his staff in how they dress and act on property.
Ability to be on-call for all after-hours and weekend emergencies.

SPECIFIC DUTIES
Respect Association and owner property by working in a clean manner, impacting the property as little as needed to get the job done, protecting surrounding areas to avoid incidental damage, and guarding and being careful about giving out property keys when in your possession.
Demonstrate daily leadership and management skills to ensure proper and timely problem-solving and closure of work tickets, to include recommending use of internal/external (i.e., contractor) resources.
Actively perform and/or participate in maintenance and repair tasks as appropriate.
Develop and implement maintenance procedures and maintain complete and accurate repair records utilizing Building Link capabilities, including planned implementation of app-based connectivity.
Coordination with Office to ensure appropriate and timely Owner communications, including identified issues, plans, repair status and completion.
Continual attention to the condition of building envelopes and common systems, overseeing and performing remedial actions as required, with emphasis on water intrusion detection, mitigation and prevention.
Walk property weekly to identify and record observations regarding required maintenance work and create work tickets.
Walk property monthly to inspect site lighting and make repairs and adjustments as necessary.
Provide assistance in performance of periodic unit checks and record identified issues.
Oversee Preventative Maintenance program and activities.
Manage daily maintenance of the four Har-Tru Tennis courts including annual maintenance of the courts done in the Fall.
Oversee daily maintenance of pool and pool infrastructure.
Participate in major project oversight such as building painting, roof replacements, and the like.
Coordinate efforts with Office to effectively use the on-line (smart phone app) maintenance management system to write new work orders, update work orders with status that an owner can understand, and recommending work order closure
Organize, protect, and stock supplies and tools in a manner that ensures work can be accomplished, minimizes trips to restock, and does not tie up Association funds in excess stock and tools.
Be familiar with Hurricane (Disaster) Preparedness & Recovery procedures and execute tasks to minimize potential damage to Association properties and units, including timely recovery/repair activities to be performed on weekends and after hours if necessary.
Keep up with and implement new construction techniques and construction codes.
Cooperate with and maintain good relationships with other supervisors and the management staff.
Constantly look for and recommend ideas that increase job quality and efficiency.
Meet daily with the Administrative Assistant and Property Manager to review and provide updates to common area and unit maintenance requests.
Meet weekly with the Property Manager to review overall priorities, performance, and results.
Attend Castle Group-mandated continuing education classes.
Ensure OSHA safety regulations are followed for all work performed on the property.

CONTRACTOR MANAGEMENT
Perform a formal contractor job inspection process. Sign off on work quality at key points in each job and approve the completion of the job in accordance with Association requirements.
Inspect contractor permits and ensure the proper posting is done. Ensure copies of all permits are given to the office for filing.
For all unit owner contractor work, assure contractors are given a set of Players Club Contractor Rules, and enforce those rules. Notify contractors and the Property Manager immediately of violations. Recommend appropriate actions to Property Manager if violations are not cured in short order.

STAFF PERSONNEL MANAGEMENT
Participate in the maintenance staff hiring process.
Manage staff schedules to avoid overtime while getting the work done, and recommend disciplinary actions where warranted.
Assign and train staff to ensure properly trained staff are utilized in completion of tasks and repairs, including units.
Observe and monitor staff productivity and efficiency in execution of assigned responsibilities and tasks.
Ensure staff maintain a clean work space to include job completion cleanup.
Identify and recommend training for the maintenance staff that fills expertise voids and helps staff maintain proficiency.
Recommend advancement and compensation of the supervised personnel based on their knowledge, performance attitude, skills, and perceived capabilities.

Qualifications:

Education/Training/Certifications/Licenses:

High school diploma or equivalency required. Completion of college level or vocational school course in the fields of Electrical, HVAC, mechanical and plumbing is strongly preferred.

Experience/Knowledge/Skills:

Fifteen (15) to twenty (20) years of supervisory experience as a Maintenance Supervisor or similar position required. Strong customer service, communication and interpersonal skills required. Effective written and verbal communication skills.

Computer literacy:

Intermediate command of computer hardware/software is required; specifically, knowledge of Microsoft Windows, Word, Excel, Power Point and Outlook.

Language requirements:

Ability to speak fluent English is required.

Travel and availability requirements:

May be required to travel for training sessions off-site on an as needed basis. Ability to work extended hours and weekends if required.

Physical Requirements:

Ability to lift 50lbs. following appropriate safety procedures: Work in an upright standing position for long periods of time. Crawl in small and tight spaces. Ability to work in different environmental working conditions (e.g. heat, cold, wind, rain). Walk and climb stairs. Handle, grasp, feel objects and equipment. Reach with hands and arms. Communicate, receive and exchange ideas and information by means of the spoken and written. Ability to quickly and easily navigate property/buildings are required to meet the job functions. Repeat various motions with wrists, hands and fingers. Ability to detect auditory and/or visual emergency alarms. Driving when necessary (may be required to possess a valid Florida Drivers License.) Ability to climb ladders and work at heights above ground level (maximum 12-16 ft).

Working Conditions:

Work will be divided between indoor and outdoor work. The proportion of indoor to outdoor work will fluctuate. May be exposed to weather conditions such as heat, cold or rain while working outdoors.
