Job Description:

SUMMARY

Provides principal support to the Executive Vice President (EVP) with responsibility for the day-to-day administrative operation and management of the College-wide strategic development and tactical deployment, community engagement and institutional advancement initiatives.


ESSENTIAL FUNCTIONS

  • Supports the EVP’s communication with and administrative management of all of the EVP’s direct reports, as well as the Board of Trustee’s and Institutional Advancement Council.
  • Manages EVP scheduling and calendar needs.
  • Manages all of EVP’s logistics coordination, materials preparation, travel needs and expense submission for local and out-of-town conferences, presentations, and meetings.
  • Serves as member of the division’s budget team, with responsibility for assisting with the creation and finalization of the division’s and/or College’s budget
  • Serves as an expert and resource on all College administrative systems, such as Banner, Concur, etc.
  • Supports research and writing for the EVP and the strategy and institutional advancement leadership team, when needed, contributing to College-wide initiatives, publications, presentations and update reports.
  • Builds relationships and works closely with executive assistant peers and colleagues internally within the College, as well as external business, civic and other partners, to ensure the accomplishment of strategic outcomes and the smooth functioning of the division.
  • Administers directives and strategies on behalf of the EVP
  • Maintains an up-to-date listing of all of the internal and external boards and committees on which the EVP serves, along with the EVP’s role (i.e. committee chair, Secretary, etc.) and term.
  • Acts as an ambassador for the division inside the College and externally within the larger community.
  • Works closely with the College President’s office on projects involving the Board of Trustees, including managing the division’s resolution submission process, which includes drafting and editing resolutions, researching resolution topics, and preparing talking points for the EVP.
  • Assesses the urgency and importance of situations and takes appropriate independent action to determine the necessary level of involvement by the EVP
  • Acts as administrative proxy for EVP, when necessary, in consultation with the EVP
  • Manages executive correspondence from the office of the EVP
  • Manages and/or performs principal support functions for the EVP’s office
  • Manages sensitive information with discretion and confidentiality
  • May manage major related College-wide functions on behalf of the division
  • Performs other duties as assigned


REQUIRED QUALIFICATIONS

EDUCATION AND EXPERIENCE/TRAINING

  • Bachelor’s Degree
    • Significant related experience may substitute for education
  • Minimum of five years of executive administration, communications, public relations, community relations or related experience
  • Demonstrated experience effectively making decisions that have major implications on the strategy, management and operations within a department
  • Demonstrated experience and effectiveness requiring dynamic and analytical problem-solving methods in a variety of situations

EDUCATION AND EXPERIENCE/TRAINING

  • Demonstrated experience in higher education, the business community or the economic development ecosystem
  • Demonstrated experience in a leadership role in community and civic environments
  • Demonstrated experience developing executive level talking points, speeches and presentations
  • Demonstrated experience managing the forecasting, planning, maintaining, preparing, and monitoring a business area’s budget
